Exporting Check register to excel; need custom report

I am trying to export our check register to a .csv to then upload to our bank to approve checks as part of their fraud service.  I see that I can export the whole register but is there a way to choose the fields and the order in which they export so that it can be imported to our bank's system?

Yes, there's a way to customize your check register, Jim.

 

Let me show you the easy steps:  

  1. From the Lists menu, select Chart of Accounts (Ctrl + A). 
  2. Locate the heck register you'll want to export. 
  3. Right-click on the account and then select QuickReport
  4. Click the Customize report button where you can what columns to display and filter the information to appear on the report. 
  5. Once done, click OK.
  6. To re-arrange the columns you can hover your mouse to the column header and drag it.

Thank you so much for your response, I just have 3 small issues that maybe you can help me with?

1. In the custom report which I am exporting to a .csv my dates are showing in this format: 01/15/2019, I need them to show as: 20190115.

2. My .csv has quotes "..." around my data, how can I remove the quotes from being inserted into the export?

3. How can I get my check amount to not show with a -(minus) sign just want the check amount to show normal?

 

Example of my csv export:

"accountnumber","111",-24.00,"01/31/2023","Bayshore Water"
"accountnumber","112",-12.50,"01/31/2023","Bad Check Charges"

 

Need it to look like this:
accountnumber,111,24.00,20230131,Bayshore Water

accountnumber,112,12.50,20230131,Bad Check Charges

Any help would be greatly appreciated!

First, thank you for your reply, it helped a lot!

I have 3 small issues I am hoping you can help me correct:

1. I need to remove the quotes that are exporting into my .csv around my data, for example it exports with "accountnumber","1002","-25.78"

I need it to export like this: accountnumber,1002,24.78

2. How do I change the format of the date from 01/31/2019 to 20190131

3. How can I change the check amount in my export to show the actual check amount not a negative or - minus sign in front of the check amount?

 

Any help would be greatly appreciated!

Hi there, GCWen.

 

Let's go over to your CSV file and correct the data that shows in the report. The format you want to change in the exported report's appearance or contents aren't available within QuickBooks.

 

But, you're free to customize the file as needed. Changes you make in it don't affect your QuickBooks data.

 

Here's how:

  1. Select the cell and press Ctrl + H.
  2. In the Find what field, enter the minus sign (-).
  3. Leave the Replace with field blank, then click Replace All
  4. Click OK.
  5. Follow the same steps to remove quotes (") and slash (/). 
  6. After you remove the slash in the date, highlight the cells to change its format.
  7. Right-click and select Format Cells.
  8. On the left panel, select Number, then change the decimal places to 0.
  9. Click OK

Thank you again of your help.  When making a custom check register report is there a way to hide or delete the totals of all the checks in a given date range that shows up at the bottom of the export? 

It currently automatically exports:

Total with the account # listed and the totals of the checks next to it, then underneath it again it says TOTAL this time in all caps with the total of all the checks.  Is it possible to delete or hide both or just one of these total lines?

I've come to help share additional details about exporting your customized check register to Excel.

 

Yes, you have the option to delete all the total details on your exported report in Excel manually. Any changes made on the exported transaction won't affect your QuickBooks records.

Thank you for your reply.  Can you tell me if there is a way for the "totals" to NOT be exported so we do not have to manually delete them in excel?  I need 1 or both lines to not be included in my export so that all work can be done automatically without manual input.  This is the only line that is currently holding this up for us.  Please let me know.  Thanks in advance for your help!

For now, we can only remove the TOTAL(Total) row(s) of the report if you export it to Excel. I'll let share your idea with our Product Development Team. They'll evaluate and put it into consideration for product updates.
