False duplicate invoice warning

I have just recently started getting duplicate invoice warnings that are not true. I've even done a search for an invoice number before I enter the next invoice and thought it doesn't exist prior to entry, I still get the warning.

 

Example: I search for invoice number 3415. "No matching transactions were found." Then I enter the information for invoice 3415 and when I click to save, I get the popup telling me that invoice number 3415 is already in use. 

 

Any ideas for how to fix this? I DO want duplicate warnings, but not if I'm going to get an erroneous warning with every invoice entered.

Since you've already verified that there's no duplicate invoice number each time the message appears, it's possible that data damage is behind this. Let's run the Verify and Rebuild Utility Tool to resolve the problem. 

 

Rebuild Data:

  1. Go to the File menu.
  2. Choose Utilities, then select Rebuild Data.
  3. Select OK on the QuickBooks Information window.
  4. Follow the prompt to save a backup.
  5. When you see Rebuild has completed, click OK.

Verify Data:

  1. Go to the File menu.
  2. Choose Utilities, then select Verify Data.
  3. If you see QuickBooks detected no problem with your data, click OK. You can continue using the company file.
  4. If Verify finds an issue with your data, click Rebuild Now or View Errors.
  5. Once done fixing the data, select Close.

I had tried rebuilding, but not verify. That worked!

This same error is happening to me but for quickbooks online, is there a fix for this?

The duplicate warning only appears if you are trying to create an entry using an existing transaction type and number, partiotplacement.

 

Otherwise, cache files might be causing this warning to pop-up. We can do browser troubleshooting steps to get rid of any cache-related issues:

  1. Open a private browser and access your account again.
  2. If the warning doesn't appear, we can clear the cache storage of your regular browser.
  3. You can also use other supported browsers if necessary.

If the same thing happens, I'd recommend reaching out to our QuickBooks Customer Care Team. They can investigate this behavior and provide further troubleshooting steps:

  1. Click the the Help menu in the upper-right corner within QuickBooks Online.
  2. Select Contact us and enter the details of your concern.
  3. Click Continue and choose how you want to reach them.
  4. Then, get the phone number.
