Financial exchange problem

No financial exchange end of day due to 2 windows open in QB in server. cannot open QB financial on server. Task manager shows nothing open and all computers with QB financial were closed.

Jumping in to offer additional troubleshooting steps, pippyn.

 

The error that you're getting can be caused by any of the following:

 

  • A non-admin user is logged in to QuickBooks Desktop.
  • Either QuickBooks Desktop Point of Sale or QuickBooks Desktop is not updated to the latest release.
  • The Integrated Applications preference in QuickBooks Desktop is damaged.

Let me share these steps that can resolve the issue: 

 

Solution 1. Refresh the Integrated Applications

 

  1. Go to QuickBooks' Edit menu, then click Preferences.
  2. Proceed to the Integrated Applications tab, then go to Company Preferences tab.
  3. If more than one application is listed, select QuickBooks Desktop Point of Sale and select Properties.
  4. On the Access Rights tab, take note of the name in the Login as field and clear the Allow this application to read and modify this company file checkbox.
  5. Select OK to save the changes.
  6. Follow steps 1 to 4 again but this time, select the Allow this application to read and modify this company file checkbox.
  7. In the Login as field, select the name that was previously used. Select OK twice.
  8. Run financial exchange in QuickBooks Desktop Point of Sale.

Solution 2. Refresh communication between QuickBooks Desktop and Point of Sale

 

  1. Open both applications together.
  2. In POS, go to File, look for Preferences, and then click Company.
  3. Select Financial, then clear the Use with QuickBooks Financial Software checkbox and save the changes.
  4. In Quickbooks Desktop, go to the Edit menu and select Preferences.
  5. Proceed to the Integrated Applications tab.
  6. On the Company Preferences tab, look for QuickBooks Point of Sale, and then select Remove.
  7. Select YES on the Remove this application warning box, then select OK.
  8. In POS, go to Financial > Financial Center > Set Up QuickBooks Connection Now and follow the Connection Wizard to finish the setup.

Once done, run a financial exchange one more time to check if you're able to do it.

I updated a few days ago. Both POS and QB Premier. I can connect to the server but not to Quickbooks file to send over end of day. This began all of a sudden on May 12.

Let me show you how we can resolve this behavior.

 

Please makes sure that the Server Host Service is turned on in QuickBooks Desktop. This could be the reason why we're having errors when doing the file exchange. Once done, you can follow these steps:

  1. In QuickBooks Desktop, go to the File menu and click Switch to Single-User Mode.
  2. From the Edit menu, select Preferences and click Integrated Applications.
  3. Click the Company Preferences tab. Select the QuickBooks Desktop Point of Sale, then click Remove.
  4. Hit OK to save changes and run another Financial Exchange.

Thanks for the reply. we were able to connect to server and login to Quick books. But we receive the following error now:

 

Unable to log into this Quick books company data file automatically. Administrator must grant permission for auto logon thru the Integrated Application preferences. 

 

Auto login was checked. we unchecked and re checked and then reauthorized. Still cannot transfer end of day files.

I will try solution #2. Thanks for the info. I was down to where I thought that I might need to use the wizard again to re connect. Wish us luck! Will let you know if it works!

Why can't a non-Admin user perform end of day?  I have an employee who I have given access to everything in Quickbooks except for payroll but he is unable to perform end of day because he is not an administrator.  Is there a way around this?  Anyone who does end of day must have administrative rights with access to everything in QB?

As additional insights, even users that have full access and are in single-user mode, secondary users that are not the Admin or External Accountant can't open it. This is why they will get the error message:

 

Only the QuickBooks administrator or an External Accountant can perform this action. You must reopen the company file and login as the Admin or External Accountant to do this.

 

As a workaround, you can change user access as an admin. Here's how: 

 

  1. Close QuickBooks Desktop, then open the Windows Start menu.
  2. Open Control Panel, then select User Accounts.
  3. Find the QBDataServiceUserXX for your version of QuickBooks Desktop. For QuickBooks Desktop 2020, look for QBDataServiceUser30. For the 2019 version, look for QBDataServiceUser29. 
  4. Select Change the account type and then Administrator. Then select Change Account Type.
  5. Select Apply to save your changes.

 

Another option is to manually open the transactions and export them to Excel. From there, you can collate and create the end of day report. 

 

Just in case you'll want to share your QuickBooks data with multiple users in the future, you can also set up and install a multi-user network for QuickBooks Desktop
