How do I connect my product/service with an account that is not showing up in the dropdown list but is in my chart of accounts

Hi Alen,

Welcome aboard to the Community space! I understand the importance of linking the product/service to an account for accurate mapping. There are a few steps we can take to ensure your account appears in the dropdown and is properly linked. Let’s go through the process together so we can get everything set up correctly and working seamlessly for you.

First off, please ensure that the account is active in the Chart of Accounts. Take note that if the account is inactive, it will not appear in the dropdown list. Additionally, double-check that the Account Type matches what you are trying to use, such as Income, Expense, or Asset, as dropdown lists typically filter accounts based on their type.

Once you have confirmed that the account is active and properly set up, we can proceed with connecting your product or service as needed.

But before that, could you please confirm which dropdown list in the product/service details is where the accounts are not showing up? Knowing this can help us better provide more specific responses. Feel free to add screenshots for visual references. Any additional information would be highly appreciated.

If you are referring to the Category dropdown list in the Basic Info section, please note that it is not connected to your Chart of Accounts. Accounts will not appear in this section because this field is solely for organizational purposes. It is used to group and filter your products and services in lists and reports.

To connect the specific account in the product or service, let's use the Income Account, Inventory Asset Account, or Expense Account dropdown list.

Please follow the steps below:

  1. Navigate to All apps, select the Sales & Get Paid, then click Products & services.
  2. Locate the name of the product or service, then hit Edit.
  3. Map the correct account accordingly in the Income Account, Inventory Asset Account, or Expense Account dropdown list.
  4. Once done, click Save.

On the other hand, if the accounts do not appear in the Income Account, Inventory Asset Account, or Expense Account dropdown list after confirming the specific account is active, you can perform diagnostic steps to determine if the issue is browser-related.

I suggest doing the troubleshooting below:

  • Refresh your browser.
  • Sign out and sign back in to your QBO account.

If the issue persists, you can try accessing your account through a private or incognito window. This mode avoids storing internet data, which can help resolve temporary issues. You might also want to try a different compatible browser to ensure everything functions smoothly.

The steps above can help you map your products and services to the correct accounts. If you have any additional information, please don't hesitate to add it below. I'm looking forward to hearing from you. Have a great day ahead!
