The undeposited funds account is not working correctly since I download from the bank

Hello @vlzehner, thank you for reaching out. I see this is your first post in the community, so I'm happy to be the first to welcome you. Let's discuss how we can resolve the issues with the Undeposited Funds (UF) account and ensure it works correctly for your needs moving forward.

 

In QuickBooks Online (QBO), the option to turn off a UF account is unavailable. This is because it serves as a default holding area for funds that have not yet been deposited into your bank. For more information, please refer to this article: Manage default and special accounts in your QuickBooks Online chart of accounts.

 

Since your UF account is not working correctly, it usually indicates issues with how payments are recorded or deposited. To resolve this, please review your transactions and ensure that payments are linked to their corresponding deposits.

 

You won’t also need to use the UF account if you connect your bank and credit card accounts since QuickBooks will automatically pull in the relevant information from your bank. All you'll need to do is categorize these downloaded transactions accordingly.

 

If you would rather not use the UF account, you can directly select an account in the Deposit To field when you Receive Payment. This will directly affect your bank register. Thus, you don't need to create a bank deposit.

RE: In QuickBooks Online, the option to turn off the UF account is unavailable. This is because it serves as a default holding account for funds received but not yet deposited into a bank account. Due to this, we are unable to deactivate that account.

 

Do you think it's odd that the same concept exists in QuickBooks Desktop, where it's no  problem at all to hide and stop using the undeposited funds account? Strange that somehow QuickBooks Online just can't handle something so very simple.
