If it’s just a small batch, you can input them directly into QuickBooks Desktop. Here’s how:
- Navigate to Employees and select Enter Time, then choose Time/Enter Single Activity.
- Fill in the following details:
- Date the work was performed
- Employee name
- Payroll item
- WC Code and Class, if applicable
- Customer: Job and Service Item, if the work is billable. If it's not billable, ensure the "Billable" checkbox is unchecked.
3. Click Start to begin tracking the employee's hours worked. Once the work is complete, click Stop, then select Save & Close.
If you have large amounts of timesheet data, you can import it directly into QuickBooks Desktop using an IIF file. Here’s how:
- Build your timesheet data in Excel with columns like DATE, EMP, ITEM, CUST, and HOURS.
- Format it properly (e.g., ensure employee names, service items, and customers match exactly with those in QuickBooks).
- Save the file as a .txt file, then manually change the extension to .iif.
- To import the file, Navigate to File, then Utilities
- Click Import, then select IIF Files.
