how do you add a reimbursement for cell phone that can charge to different accounts based on Employee.

It seems reimbursements work different than other pay types. Do I need to set up multiple reimbursement types for each employee?

Good day, Tim. To reimburse cell phone expenses in QuickBooks Online, create a single reimbursement pay type. However, map it to specific accounts in the Payroll settings to ensure that each employee's expenses are charged to the appropriate expense accounts. You don't need to create multiple reimbursement types; instead, you can define the expense mapping during payroll processing.

 

To map reimbursements to various accounts, follow these steps:

 

  1. Click on the Gear icon in the top right corner and select Payroll settings under the Your Company section.
  2. Scroll down and click on the pencil icon next to Accounting.
  3. Under Wage expenses, click the pencil icon again.
  4. Select the radio button that says, Each employee's wages are posted to different types of accounts.
  5. Scroll down to the "Where do you track employee reimbursements?" section.
  6. You will now see a list of your employees. Use the dropdown next to each name to select the specific expense or liability account you want their cell phone reimbursement to hit.
  7. Click Save and then Done.

 

Once your mapping is set, ensure the reimbursement pay type is active for each relevant employee:

 

  1. Go to the Payroll section, then Employees.
  2. In the Additional pay types section, hit the Add button.
  3. Click the dropdown menu next to the search bar and choose Reimbursement.
  4. You can also rename it to Cell phone Reimbursement by clicking the +New pay type.
  5. Then Save.

 

Once done, QuickBooks will automatically split and categorize employee reimbursements on your financial statements.
