How to best utilize Product Name & Description for billing and reporting

We just start up company and subscribed to QBO.  I am now setting up the product database and would like to seek advice. 

 

Our product is each unique SKU, with a different product name and classified by various product ranges. 

 

Understand the "Name" is unique under "Product/Service Information".  It seems that in our case the "Name", "Description" and "Purchase Information" need to be the same full product description for each item.  We will use "Category" to identify the product ranges.

 

I would like to make use of the "Product Name" and "Product Description" in a meaningful way for different forms (invoices etc) and reporting (analysis).  Is there any suggestions?

 

A few of our product description as below for reference:

  • Gourmet Black Tea with Mint 100gr
  • Gourmet Green Tea with Strawberry 90gr
  • Wellness Green Tea with Verbena 100gr
  • Herbal Tea with Peach and apricot 70gr
  • Herbal Tea with blood orange 90gr

You can make use of the Product name and Description for invoices and reports. Although, you can also use the Categories function. It helps you organize the items and services and gives you insights into your sales and inventory when you run the reports.

Can you re confirm that "Name" is unique field?  Therefore it's not possible creating multiple items under SAME Name?

Yes, you're correct. The name field is unique. Once you enter the same product name, a message will appear "Another product or service is already using this name. Please use a different name." 

 

QuickBooks lets us record different product names to keep the items and transactions accurate and organized. We can still enter the same name by including additional characters to make it a little different. For example:

 

  • Item A
  • Item B

 

When categorizing the items, you can use the article share by my colleague above. It helps you on how to complete the task of grouping the items in QuickBooks. We are using Shopify as e com platform.  For integration (through an APP),  please advise if we should use the "NAME" or "SKU" field to sync with Shopify product master.

When connecting Shopify to QuickBooks Online (QBO), the process is done in the app's side. With that said, it would be best to contact the app provider to check on which field you'll need to use either "NAME" or "SKU" to sync with Shopify product master.

 

Any concerns about syncing or integrating the third-party software into your account are best handled by their technical support. If you already connected Shopify in QBO, here's how to reach them:

 

  1. Go to the Apps menu.
  2. Click My Apps
  3. Choose Shopify app to contact their technical support. 

On the other hand, the Name and SKU fields are both available in QBO when adding your inventory products. You can check out this article for more details: Add inventory products in QuickBooks Online. Then. go to Step 2: Add your product’s name, SKU, and category section.
