I want to be sure you can import your services smoothly.


If you haven’t created the main and sub-categories yet, you’ll have to create them first. This can be done in the Excel file if you choose not to create it directly in QuickBooks Online.


If you enter the services via Excel, make sure they’re set up properly. For example, the category is Size, sub-category is Color, and the Product is Shoes.


When you input it on the cell it should look like this (Size:Color: Shoes).

I’m here to share some information about importing products and services in QuickBooks Online.


You can transfer services with main and subcategories from Excel files to QBO. This Import functionality can support up to a 1,000 record at a time. 


In order to make this work, you need to format the information carefully. The cell for the Products/Services can act as a placeholder for the main and subcategories.


This is how to map them in Excel:
•    For Category only.
Name of the category: Name of Product/Services.


•    If with Sub-category.
Name of Category: Name of Subcategory: Name of Product/Service.


To import the file, follow the steps below:
1.    Go to the Gear icon and select Import Data.
2.    Choose Products and Services.
3.    Select Browse in the Import Products and Services page.
4.    Find and select the Excel file, choose Open, then Next.
5.    Map your data, then Next.
6.    Check if there is any cell highlighted in RED. If there are, it means that the value in that cell on the Excel file is either not yet available on your company file or invalid.
7.    Hit Import.

Hi Khim,

Many thanks for your assistance. If the main & sub categories do not yet exist, will they be created during the import process or should I create them first? I've attached my file for your reference. Note the descriptions are the same for services in separate categories. Is this okay?

I spent 4 hours on the phone with a QB help rep and we still were unable to import my products and services list.  He said my template was correct as well as my categories and sub categories.  When we imported them 3 additional columns were on the imported list that was NOT on the template (sell, buy, and track). We do not keep track of inventory and it automatically created an Inventory Asset category (which I do NOT want). It also changed EVERY item to INVENTORY rather than NON INVENTORY and changed all the expense categories.  After unchecking TRACKING for all items, even more RED showed up.  We have 1800 items (yes there were 2 files created to accommodate this.  WHAT IS UP?????  4 hours.....4 hours and I'm not anywhere near having this corrected and I need it done ASAP for the accountant.

Hi there, @TooDocs.

 

I hear you and realize the importance of this matter into your business. Let me raise feedback to our managers in the Customer Service Department with regards to your experience over the phone. Having said that, I'd want to make it up with you in the Community space.

 

It could be that the Inventory Tracking feature was turned on. This can be the reason why the system automatically adds 3 columns and other inventory-related details when importing your file.

 

To fix this, we can turn off this feature first before importing the product and service list into QuickBooks. Here's how:

 

  1. Click the Gear icon and select Account and settings.
  2. Go to the Sales section. 
  3. Uncheck the box for Track inventory quantity on hand feature in the Product and services section.

 

Once done, you can now import products and services from Excel.

 

If you're getting the same issue, I'd still recommend reaching out again to our phone support. This way, they can review the notes added when you previously called in and provide you more options to make sure that you sort this out.


In addition, you can also move your lists such as vendors, customers, inventory, and chart of accounts to QuickBooks Online. This will saves you time from having to set up the items from your lists one by one.
