I am a sole proprietor with a different business name. QBO cannot recognize my business name instead of my personal name for estimated tax payments. Anyone have advice?

I have contacted the IRS and their system shows correctly. QBO won’t update without consistency with the IRS so all my staff tax forms show my personal name instead of my business name.

Hi there, mstrevig.

I understand you’re seeing your personal name instead of your business name on your tax forms and I’d be happy to explain what’s going on.

The legal information you enter in your QuickBooks Online (QBO) account, like your business name, EIN/SSN, business type, and address is what your business uses for tax purposes. It’s essential that this information is accurate and matches what your business has registered with tax authorities to prevent issues with tax filings or processing tax-related forms.

Here’s how you can review and update your legal information in QBO:

  1. Sign in to QBO with your primary administrator credentials.
  2. Click the Gear icon in the upper right corner.
  3. Select Account and settings.
  4. In the left-hand menu, choose Company and go to the Legal info section.
  5. Verify that your business name, address, EIN/SSN, and other details align with the official records used for tax filings.
  6. Click Edit to make the necessary changes, and then click Save.

Once you update the information, it should resolve the issues you’re experiencing with your legal setup in QBO.

This feels like every AI chat response I have gotten from QBO. So you’re saying every sole proprietor using their EIN with their business name just uses their owner name since the IRS lists every sole proprietor business with the owner name first then the bushes name first tax purposes? The issue is that when I follow the setting recommendations provided all my payroll and other forms that automatically pulls  uses my owner name and not the business name, which is correctly filed and confirmed with the IRS.
