Before we proceed, could you please clarify if your employees in QuickBooks Online Payroll (QBOP) have completed their setup? Did you run payroll during the 2025 period, or are you attempting to add W-2 forms for employees who were paid outside of QuickBooks? Any additional information will help us offer a more accurate resolution.
If so, you need to complete the employee setup to file their W-2s; this means ensuring each employee has their personal details, tax info, and at least one paycheck recorded in QBO for the year. Once they are fully set up with their tax info and payroll history, you'll be able to file successfully because QBO automatically generates W-2s from that payroll data. Since QBO creates the forms automatically upon completion, you can then manually file them. However, unless your automated tax feature is turned on, you’ll need to either let QBO e-file them (if automation is on) or go into the payroll tax filings section to submit the W-2s yourself (if automation is off).

However, if you have already set up your employees but did not run payroll during the 2025 period, the W-2 form will not be created since there is no data to process. Similarly, if you're trying to add W-2s for employees paid outside of QBO, the forms will not be generated, and you cannot manually file them.

pls help me. i need to have a w2 ssn corrected but i cannot access support. i get the error
when hitting ' contact us' while signed in. Ive cleared all time cookies and cache, tried safari and chrome incognito and regular windows (after clearing cache) ofc i refreshed the page no change. I cannot contact qbo support for online payroll automated !!! pls pls pls help me
