You've come to the right place, Amy!

 

Printing your employee's W-2 depends if you turned on automatic tax payments and form filings or not. If you're unsure, I recommend checking the status of your automated taxes and forms.

 

  • If it's turned on (we pay and file for you), please follow these steps:

 

  1. Go to Taxes and select Payroll Tax.
  2. Click Filings and select Annual Forms.
  3. Under the Select the period dropdown, choose the year you need (2021).
  4. Select W-2, Copies B, C & 2 (employee).
  5. Click View to open Adobe Reader in a new tab and select the Print icon. Click Print again.

 

  • If the automated taxes and forms is off (you pay and file manually), here's how:

 

  1. Purchase your W-2 paper by going to QuickBooks Checks & Supplies, selecting Tax Products, and clicking Blank W-2 Kits. Follow the on-screen tips to confirm your purchase.
  2. Change your print preferences. Go to the Gear icon, then Payroll Settings. Click Edit on the W2 print preference and select the type of paper you purchased. Once done, click OK.
  3. Go to Taxes and select Payroll Tax.
  4. Select Filings and click Archived Forms.
  5. Select the year you need from the Select the period dropdown.
  6. Select W-2, Copies B, C & 2 (employee).
  7. Click View and select the Print icon on the Reader toolbar.
  8. Click Print.

 

Note: Write REISSUED STATEMENT on the top if you're reproducing a W-2 because your employee misplaced or didn't get the original. Also, include a copy of the W-2 instructions.

 

In addition, you can invite your employees to QuickBooks Workforce so they can access and print their W-2s and pay stubs.

I don't have QuickBooks online. I have QuickBooks desktop enhance.

I don't have QuickBooks online but I do have QuickBooks desktop enhanced payroll. Can you give me the instruction on how to process with printing employee w2 form 2021.

QuickBooks Desktop Payroll Enhanced allows you to generate federal and state payroll tax forms which can be submitted electronically or manually to the IRS and state agencies. Additionally, you can print these forms instantly and view your saved forms at any time.

 

  1. Go to the Employees menu and select Payroll Center.
  2. Select the File Forms tab.
  3. Under Filing History select the Save Filings or E-Filings tab.
  4. Select the form to view it.
