I get an error frequently for choosing an inactive product. I’ve gone to my product list and I cannot find the inactive products. How do I remove the inactive products?

It seems like every one of my products are duplicated. When I am choosing a product from a product list there are always 2 identical choices, one works and the other appears to be inactive. But I can’t tell the difference – they look identical on the list. I just have to try one and see if I get an error. The error says “Something you’re trying to use has been made inactive. Check the fields with accounts, customers, items, vendors or employees.” I’ve gone to my product list and I cannot find the inactive products.

Hi there, @meara.

 

The best way to only see one product list and avoid the error is to rename the inactive products. 

 

QuickBooks Online only allows you to inactivate products & services instead of deleting them to avoid damaging your historical data. We'll need to rename the inactivated products so you can easily identify which is active.

 

Here's how:

 

  1. On the left menu, head to Sales and select Products & Services.
  2. Click the Filter button.
  3. Change the Status to All, then click Apply.


     
  4. Find the inactivated item and click Make it Active under its ACTION column. You'll see if it's inactivated if it has the"(deleted)"  text after its name.


     
  5. Open the same item and rename it to anything (for example, InactivatedBolts).


     
  6. Click Save.
  7. Make the item inactive again.

 

You can also consider grouping products and services into different categories in QBO. When you run reports, categories can provide helpful insights into your sales and inventory.
