I need help upgrading my Quickbooks version and learning how to utilize the Cloud version

I am using Quickbooks 2016 version, do not have payroll and don't use it for creating a tax return.  I need information on upgrading to the latest version that doesn't need to be ultra complicated.  I'm interested in going to the Cloud version, how that works and  what are the costs, can one of the  "company" s be accessed from the Cloud by another user using my login info?   I'm currently the Treasurer of my Garden Club, but will be replaced on May 1, 2022 by a new Treasurer.  I created a company for the GC on Quickbooks and have been producing financial statements monthly for them to track their income & expenses.  I would like for the new Treasurer to get set up on the Cloud version, as well as myself, so that he can continue the financial recording for the 05-01-2022 to 04-30-2023 fiscal year, as well as accessing the past records held on my computer.

Is this even possible?  If not, your recommendations to accomplish what we need for a non-profit organization.

Yes, you will be able to upgrade your QuickBooks Desktop 2016 to a cloud version, which is QuickBooks Online. From there, you can add some users, depending on your subscription.

Once you've chosen on a plan, you can migrate your QuickBooks Desktop to QuickBooks Online by following the steps outlined below.

Here's how:


  1. Initially, make sure that your QuickBooks is updated to its latest release.
  2. Check if your company file isn’t too big to export.
  3. After that, sign in as an admin to your QuickBooks Desktop company file.
  4. Navigate to the Company menu, then choose Export Company File to QuickBooks Online.
  5. Select Start your export.
  6. Then, open a browser and sign in as an admin to your QuickBooks Online company.
  7. Choose the QuickBooks Online company you want to be replaced by your company file from the Choose online company menu.
  8. Tick Continue.
  9. Enter the word Agree in the text field, then Replace.
  10. Hit Yes, go ahead and replace the data, then select Replace.

QB Desktop and QB Online are 2 different products. If you are a veteran user of QB Desktop, I would recommend sticking with it. You can still use your existing QBD 2016 license and use this app to share QuickBooks files. You or your colleagues can edit files that work in the app and sync to all shared users automatically over the internet. The app locks files so you can protect your changes. This solution costs $120/year and is only suitable for one user to access QuickBooks files at a time. We will recommend another solution to access the same QuickBooks Desktop file in multiuser mode at the same time.
