I need to change a Credit Card acct to LOC acct but am unable to. Is there a workaround this or do all CC transactions need to be deleted?

A LOC acct was set up by previous bookeeper as CC, now I cannot reconcile and reporting is off. I tried to delete the CC acct but it won't let me without putting in a "close the book password", which I don't have. Is there a way to workaround this to correct the issue?

You can change or remove the closed book password in the Advanced Settings once you have Primary or Company Admin access.

Here's how:

  1. Sign in to QuickBooks Online as a Primary admin or Company admin.
  2. Go to Settings, then select Account and Settings.
  3. Select the Advanced tab.
  4. Select Edit in the Accounting section.
  5. Change the Closing date:
*Allow changes after viewing a warning (will not require a password).
*Allow changes after viewing a warning or entering a password (change the password by entering a new one).
  6. Select Save, then Done.

If you're using user access, you can ask the Primary Admin to change or remove the password, or they can grant you access to make these changes. You can find information in this article about the access permissions for each user role regarding their tasks: User role and access rights.

Next, let’s address changing the credit card account to a line of credit (LOC) account. The first step in this process is to create a new LOC account, as QuickBooks Online cannot directly convert a credit card account into an LOC account to retain the existing transactions. You will need to review the transactions in the credit card account, which involve manually correcting each transaction (i.e., deleting entries in the credit card account and creating a journal entry to move the transactions from the CC to the LOC account).

Here's the steps to create a new LOC account:

1. From the left panel, click the Transaction menu.

2. Select the Chart of Accounts tab.

3. Tap New button to create.

I advise consulting an accountant to record these entries in the journal entry. It is crucial to review closed periods and correct any transactions from previous financial years that are recorded in the credit card account.

After the entire process and you're ready to reconcile your account, refer to this article for steps: Reconcile an account in QuickBooks Online.
