I need to delete or archive the pay/file 'to-do cards' in the payroll center because i pay these on the state websites and the amounts do not match.

How can I edit/update the figures found on the filing forms in the payroll tax center?

Hi @AP98. I can provide some clarification regarding the 'To-do' cards in the Payroll Center and why the amounts you paid through the website don't match what you see in QuickBooks Online.

 

These cards remain active until you manually record the payments in the system. QBO does not have an Archive or Delete button for these reminders. To clear them, you’ll need to record the payment (or prior payment) within QuickBooks so that your records match what you actually paid on the website.

 

To clear these reminders, these are the steps:

 

  1. Go to Taxes and then select Payroll Tax.
  2. Select the Payments tab.
  3. Look for the tax payment you’ve already made. Select Pay or Record Payment.
  4. Instead of choosing an electronic payment, ensure you select Manual Payment or Check.
  5. Enter the exact amount you paid on the state website and the date it was paid.
  6. Once you click Record Payment, the to-do card for that period will disappear.

In addition, if the amounts in QBO don't match what you paid, this is usually caused by an error in a paycheck or a late-filing penalty. If the problem is in the current quarter, you'll need to edit the paychecks that created the discrepancy. If the problem is caused by prior tax payments, you can follow these steps to correct the situation:

 

  1. Go to Taxes and then select Payroll Tax.
  2. Scroll to the bottom and select Enter Prior Tax History.
  3. Enter the tax type and the specific period.
  4. Input the amount you actually paid. This tells the system that you've already handled the payment and will zero out the liability card.

 

If you want to handle all filing manually in the future and don't want the program to provide reminders, you can turn off the Automated Taxes feature. QuickBooks will stop automatically paying or filing for you, but it will still show reminders. You will need to mark them as Paid as you go.
