IIF Mapping Character Limit Question

Hello  I am currently using the FOB column in my IIF invoice import.  I don't really have FOB information in there but using it for another purpose and I have run up against the 13 character limit of the field.   There is a disconnect between the potential columns I could use in the !TRANS line on the IIF file and what is available in QB Desktop to map as I am trying to find a field I can replace FOB with that has a greater character limit.  Alot of the fields I am already using, but wondering if there might be something I can use that is not listed on the IIF list such as either OTHER  or PROJECT.   Would either of these work if I added an additional column to the IIF file or is there another potential column anyone would suggest?

I am simply looking for a replacement field for FOB with a longer character length that is an allowed field on the !TRANS line of the IIF file. 

 

The Other field is 30 characters long. You can import into the field using the OTHER1 field on the TRANS record type. Add it to the !TRANS definition row.

The Other or Project columns would work. Aside from that, you can add OtherName or JobType in the column header on your IIF. To learn more about the process and character limitations, you can read these articles:

I tried those 4 below but none of them work as they all say they are not a valid column for an invoice unfortunately.  Thanks for taking the time to try to help

One must meet the standard requirement for importing IIF file. If you have trouble doing this, you may ask for assistance from your IT professional.

Thank you Charies but the generic article post does not answer by specific question.  I have read through many times both the one below and the ones sent earlier in the post.   I am not having issues importing the IIF file other than the FOB character limit.  I am simply looking for a replacement field for FOB with a longer character length that is an allowed field on the !TRANS line of the IIF file.  I know from previous conversations with others in the forum that the list of allowed fields in the provided IIF documentation is incomplete as they fields that are not listed that do work on the file for the !SPL line like SERVICEDATE.  I am hoping that is the case for the !TRANS line as well.

Thanks for following up on this thread. I'd be glad to provide some additional insight regarding character limits for IIF mapping in your QuickBooks Desktop account.

Right now there isn't currently a replacement field that allows for a greater character limit within the system. However, you may want to check out the available apps that integrate directly with your Desktop account. There may be an app that will approve additional characters when it comes to mapping IIF files. You can view the apps here: Apps for QuickBooks Desktop

 

Additionally, I'll do my part and pass this along to the Product Development Team to let them know you'd like to be able to include a larger amount of characters in the fields. You can keep an eye out for these types of updates by viewing the QuickBooks Blog.

IIF Mapping Character Limit Question

I know it's late, but I thought I'd provide some info. In the UI, look at how some "fields" are really from a List; you are defining something that gets saved on a list and can be selected later. Not everything is freeform text. Next, some fields that are text are line info and some are transaction info. That's why columns such as Other, as Line info. The Transaction Header is where you found FOB, because Freight On Board applies to the entire order.

 

Service Date is going to be the source date of a billable transaction (such as timesheet activity, bills, check purchases of items) and seems to have been provided for Statement Charges, as opposed to invoices. That makes the date of sale for Statement Charges, which is AR bypassing the use of an Invoice and bypass all "calculating items" and functions, such as Sales Tax. That's why we can use them in MT = we don't have sales taxes. Statement Charges work great for things like landlord rental activity, because they want the charge, they want a due date, and they won't print or email anything to anyone. Just as making an invoice Pending was replaced with Estimates decades back, a lot of the functions were replaced with newer functions, but old functions were left for backwards compatibility and that would help explain statement charges.

 

There are almost no changes to .iif, because it is deprecated and unsupported, from around the time the company data file was converted from flat files to relational. That also means the other improvements are not incorporated. That includes Contacts. The Alt Contact (seen in the Cust .iif reference as CONT2) has all been completely translated into the Contacts function that now is a tab in the Customer/Vendor Centers, with maintenance of multiple contacts now possible. But sometimes, you see these fields when you want to Add Fields to a Template, such as adding Contacts to a statement or invoice template, will reveal old code.

 

For the email, it helps to notice how you can now select from a rotating set of labels for info related to customer or vendor names, but only the field that holds the email address and is the email field is a function (not just for display notation, but makes something happen). Then there are things you learn only by testing, such as Other Names have a "print as" but it's not a field; it's from the first billing line.

You can use a line entry treating it as Descriptive only (no item, qty or amount). You see this for Change Orders. It's not a great method, but it works.
