IIF Mapping Issue

Good morning.  I am successfully importing an IIF invoice file to Quickbooks Desktop that has a field for the SERVICEDATE.  For my invoice template I have the service date as one of the columns on invoice template in Quickbooks but the service date form my IIF file does not show up in that field on the invoice.   All the other fields like DUEDATE for example show up correctly.    

 

I would appreciate any help or guidance you might have on why this is happening.   This is the only stumbling block I have in order to use the IIF process.

Your IIF label looks correct to me.  However, I wouldn't skip all those columns before you specify the SERVICEDATE field. Put it right after the previous field on the !SPL row and then it should work.

IIF Mapping Issue

Hello there, paul1971.

 

The IIF Import feature only maps the transaction date and not the service date. You'll want to add the service date after you have imported your invoices. Here's how: 

 

  1. Go to the Customer menu and click Customer Center.
  2. Click on the first customer where the invoice transaction is posted to.
  3. From the Transactions tab, double-click on the invoice to open and edit it.
  4. Enter the Service Date and click Save at the top.
  5. To move to the next invoice, just click the Next (right arrow) from the top and above the Find button.
  6. Do the same steps until you've entered the service dates per line item.

However, if you are referring to the Transaction Date as the transaction's Service Date you can rename the title of that field in your invoice template. Let me show you:

 

  1. From the Lists menu, click Templates.
  2. Double-click on the template you use for the invoices.
  3. Select Additional Customization.
  4. Under the Header tab, rename the title under DATE to something like SERVICE DATE
  5. Click OK and then OK.

Thank you for the information, but if you will, please take a look at the attached excel file of my IIF file  If you and  look over in Column Y and you can see the "SERVICEDATE" on the !SPL line of the import file.  It has different dates in it.  "SERVICEDATE" is not listed on the list of fields in the IIF help zip file that is supplied but it was the answer I got from another post from Big Red Consulting, a QB forum contributor.  This file imports successfully to QB and everything shows up on my invoice template except these transaction dates.  I do have this field in the invoice template set up and mapped for service date as well.  Big Red said this should work and given the successful import,  I don't see why it would not.   Also, 3rd party tools like Transaction Pro and Zed Axis also can handle this field with multiple, different dates and it does show up on the invoice template.  I am assuming their programs are nothing but front ends to ultimately import these in as an IIF file behind the scenes since there is no way other the IIF to get these into Quickbooks at the end of the day.   I would appreciate if you might have some additional insights given the information above as I don't want to have to individually add the service date on each invoice post import as that would be hugely labor intensive.  I have got to think that the many QB customers have invoices with multiple service dates on one invoice.    Thank you again for your help  Paul1971

Thank you very much Fiat Lux.  I actually have been a user of Transaction Pro for a good bit but they have a bug in their import process that is periodically putting some extra characters (like "?!") in front of the ref num column in their mapping process and after extensive conversations with them, their solution is just to remap the columns again which defeats the purpose of the automation, so I am trying to go away from the 3rd party tools
