Inventory Upload: Issues with Quantity on Hand

I have created an upload template via Excel in CSV format. I have about 1,700 items I would like to upload. When I go to import the items, everything comes in correctly except for the quantity on hand. Therefore my inventory account has a zero balance and is not valued as the inventory should be. Anyone run into this before?

Welcome to the Community, @tipinali. I'd be happy to help with importing the file.

 

To ensure that I'm on the same page, these are new items that you're bringing in and not an adjustment, correct? Additionally, if you're using Advanced Inventory and Multiple Inventory Sites, you will need to disable Multiple Inventory Sites before importing a spreadsheet with quantities and value. 

 

I also recommend reviewing the spreadsheet to ensure that it's properly formatted. The following article has an overview of this process: Import or Export MS Excel files

 

Also, if you're trying to import all 1700 at once, you may want to try a smaller file. A smaller spreadsheet will also make editing and troubleshooting easier. 

 

It's my priority that you can import the inventory, so please feel free to post an update on how it goes. Take care.

Thank you for your input. I had multiple inventory sites enabled. Turned that off and the file uploaded with no issues! Thank you so much! You've saved me an enormous amount of time.

I am needing help uploading my inventory and having the Quantity on Hand show the correct amount. I have uploaded the file and it shows that my inventory on hand for almost all the items is 0. Any help would be greatly appreciated.

It could be the Quantity on Hand is not included When you upload the inventory or the file that you've uploaded, That said, I suggest making sure or reviewing the spreadsheet to ensure that QTY is added and to make sure it's properly formatted. This is to guarantee that the inventory on hand will show the correct amount. For additional information, you can click this article: Export, import, and edit IIF files.

 

Once done, you can manually adjust the quantity or total value of your products in QuickBooks Desktop. To start with, decide what kind of adjustment you need and create a separate account in your chart of accounts to track your adjustments.

 

Here's how:

 

  1. Click the Company menu.  Then,  Chart of Accounts.
  2. Select the Account dropdown and click New.
  3. From the Other Account Types  dropdown, select Cost of Goods Sold.
  4. Name this account “Inventory Adjustments”.
  5. Hit Save and Close.

Inventory Upload: Issues with Quantity on Hand

I have several questions. 

Background - we are a small auto repair shop. 

  • We stopped using QB Oct 1 2022 when we converted to Protractor.  At that point our parts inventory in QB was out of date as we had not done a recount for several years.  Our inventory has over 1600 different part numbers.
  • Protractor did not work out so we returned to QB Jan 1 2024.
  • We did a full inventory recount over New Years
  • We changed our part numbers to include the QB hierarchy using colons as field separators.

I am trying to replace the QB inventory with the correct inventory and have the following issues:

  • QB will not accept part numbers with colons.
  • Importing items from Excel only allows me to import part number, description and price.  It does not allow me to import quantity on hand or cost.

We would really like to replace the old QB inventory, but if we have to we will just update count and cost (if we can find a way to do so).  We really like the old QB hierarchy (with top level fields like axle, engine, etc.) but don't see how to create that

Any advice will be greatly appreciated.

Importing items or inventory using MS Excel to QuickBooks Desktop is available. However, replacing the quantity on hand and cost is impossible. That said, you'll need to adjust it manually. 

 

On the other hand, if these are new items, you can import the inventory with quantity on hand and cost. If you want to replace the whole inventory, I recommend looking for third-party apps that offer this feature as an alternative solution.
