Invoice from Estimate not finding previous Invoices that were paid in percentages from the same Estimate

All,

I imported a clients QuickBooks Desktop to QuickBooks Online.

We have found that with an estimate that was used to generate partial invoice payments, think of 30% as an example, is not linking the history of the paid partial estimate when creating a new invoice and then attempting to bill another 10%.

This is not the behavior if I create a new estimate and then create an invoice for 30%, accept payment, then attempt to create a new invoice for the same estimate 10%. QuickBooks Online sees the existing 30% was deducted from the original estimate then proceeds to add only 10% from the balance of the original estimate.

We have a lot of estimates and invoices that have this problem.

How can I fix this on the imported estimates and paid invoices?

QuickBooks Online (QBO) and QuickBooks Desktop (QBDT) are different accounting software, @vmantia1980. I'll share further details on this matter with you.

 

There are a few transaction types that don't import properly during the conversion process. One example is an estimate used for progress invoicing. This type of estimate will go through, but it won't link to the invoices created from QBDT. You can either recreate these transactions or look for a third-party app that can migrate them for you. I have two progressive paid invoices from an estimate all migrated from desktop to online. I made a third invoice and got payment after the migration. The third payment is linked to the estimate, but the other 2 are not. Should I delete the 2 earlier paid invoices, write new ones and then reapply the payments?

Yes, you can delete the invoices and then recreate. Once done, reapply the payment. 

 

Here's how you can convert an estimate into an invoice in QuickBooks Online (QBO):

 

  1. Go to Bookkeeping then Transactions then select All Sales or go to Sales then select All Sales.
  2. Find and open the estimate you want to convert.
  3. Check the status of the estimate under the customer’s name. You can only convert an estimate with an Accepted or Pending status.
  4. Click on Create invoice.
  5. Choose Save and send or Save and close once done.

Thank you very much. I do progress invoices and all my invoices for the estimate do show up under the project, the ones done in desktop and the one done online. I don't know if it is really a problem if only one of the payments shows up on the estimate. I just need to know more how progress invoicing works in online. In desktop the past payments show as percentage of the estimated items completed.  When I do a progress invoice online, I don't see any percent complete..

You're welcome, @TMoore. I want to add more information on how progress invoicing works in QuickBooks Online.

 

Once an estimate is converted into an invoice, only one payment per invoice will appear. That explains why the estimate only shows one of the payments.

Additionally, only the remaining balance will show on the estimate instead of the "percent complete" details. Kindly refer to the following screenshot for reference:

You can directly send an invoice and have an internal agreement with your customer requesting payment of half of its total amount. You can also include a note in the CUSTOMER MESSAGE field with the same request. Please ensure that the customer message field will appear in your invoice layout. You can verify it by clicking the Customize Data Layout, then the Footer. I'll be sharing screenshots below:
