Sending good vibes to you, rycpallc.

I'm here to help you customize a user in QuickBooks Online.

QuickBooks Online allows you to specify user access rights to any of your employees. You can use the Custom user type to limit the access of the user.

Here's how:

  1. Select the Gear icon on the Toolbar.
  2. Under Your Company, select Manage Users.
  3. Find the name of the user you want to edit. From the Action drop-down, choose Edit.
  4. From the User type drop-down, select the type of access you like this user to have.
  5. At the bottom right, select Save.
  6. Ask the user to sign out, then sign back in to see the change in access rights.

You can check this recommended article for detailed information: How to add, delete, or change a user's access.

Also, you may find this article helpful: Understanding user types and permissions.

If you'd like to go through this over the phone, you can call our dedicated team who will be happy to assist you. Our contact details can be found here along with our opening hours:

  1. Sign in to your QuickBooks Online Company.
  2. Click (?) Help at the upper right corner.
  3. At the bottom, click on Contact us.
  4. Type in your concern then hit Continue

Please feel free to fill me in anytime if you need assistance with customizing a user in QuickBooks Online. I'm happy to help.

You're absolutely right, @rycpallc!

As of this time, there isn't an option to customize a user's permission to specific access.

In the meantime, you can consider choosing Limited access. Which allow's a user to access any transactions and reports related only to Customers and Vendors.

I suggest sharing this great idea to our product developers through feedback. This way, they'll know how to improve your experience with the user's access and permissions with QuickBooks. Just go to the Gear icon then choose Feedback.

I'll be always around her in the Community if you have any other questions.

With the advanced upgrade, can you set up shared reports and then limit a user to only those reports?

Thanks,

Mary

Hi MaryH,

Currently, you have the option to share reports to all or none of your users. But limiting a user to view that report is unavailable. You can read the details in this article: How to memorize reports.

We plan to bring in more features to QuickBooks Online. I can send a product suggestion directly to our engineers. They can consider this feature added in the future update.

1. Forced us to upgrade from 2014 to 2020 online.

2. Said This would not affect our 2014 program. It deleted it entirely.

3. Paid over $300 for the 2020 plan which doesn't do half the restrictions as the 2014 plan. SCAM

4. We now have personal info being presented for any standard user to see.

5. Our business is now down and your team is avoiding the problem.

6. Employee was Trent King.  He owes us a personal call as he said he promised it could do whatever we needed.  A lie to make a quick sale.

7. This will take days longer to fix. Already 6 hours deep one day will no resolution. Just money lost and a broken company. Thanks QB
