Buy nowour first payroll on QBO, federal employer taxes due, deducted from our bank account but not set to pay for a month. I shouldn't have assumed QBO knows IRS 941 deposit rules, but now they're a day overdue; fines mounting and it's after hours.
Hello there, Cheryl. QuickBooks Online can record your payroll tax liabilities. However, it does not automatically initiate or schedule federal tax payments unless the automated taxes and forms feature is enabled in your payroll settings. If this feature is not activated, you will need to submit payments manually according to your IRS deposit schedule.
Since the payment is already overdue, I recommend that you submit it directly through the Electronic Federal Tax Payment System (EFTPS) as soon as possible to minimize additional penalties. Once you complete the payment, you can record it in QuickBooks to clear the liability.
Additionally, please ensure that the federal deposit schedule in Gear → Payroll Settings → Taxes and Forms → Federal Taxes matches the schedule assigned by the IRS (monthly, semi-weekly, etc.), as QuickBooks uses this information to calculate due dates.
Given the implications of penalties and timing, I suggest you contact QuickBooks Payroll Support to review your account setup. They can help you determine the best options moving forward, whether that involves enabling automated taxes or confirming that your deposit schedule is accurate.
Feel free to reply below with any updates or questions. I'll be happy to help further.
