It seems QB did an update that includes a .DAT file along with pdf invoice files when invoices are auto-emailed, causing customers' servers to reject the invoices

One of my customers has not been able to get their invoices for 2 months (5/12 and 6/12 invoices were rejected).  After 3 hours of discussion with QB help line, it was determined it was my customer's issue.  I explained that other QB vendors for that customer were also getting rejected.  After two weeks of IT investigation, my customer's IT team traced it back to a QB update sometime between April 12 and May 12, which causes the auto-invoice generation email feature to include a .DAT file (in addition to the intended PDF file), which is not visible to the sender, but is causing their system to reject the pdf invoice.  The presence of a .DAT file causes the entire email to be rejected by IDS (the IT Server at the customer).  As stated, this is probably happening to many more QB customers, some may not know it yet.

There is no way I am going to get help on this issue by calling the help line (I already spent 3 hours and they didn't think it was a QB problem).  We need someone at a high level in QB to review what data updates occurred between April 12 and May 12 and delete the .DAT file being generated along with pdf invoices!!! Please!!! I don't want to have to download and save all this customers' invoices and manually send them!!!  Thank you for your help!

Thank you for dropping by here in the Community. I can share some details about the QuickBooks files, lsefcik.

If there's anything else I can help you with concerning QuickBooks Online, please feel free to visit the Community again. I'm always here to assist.

Just to clarify, may I know if what file are you referring to? QuickBooks Online limits the file types that can be attached. The following file types are supported:

  • PDF
  • JPEG
  • PNG
  • DOC
  • XLSX
  • CSV
  • TIFF
  • GIF
  • XML

Additionally, QuickBooks doesn't send DAT files. The DAT extension is a generic file carrying critical information about the programs used for creating a specific file.

My customer is saying there is a hidden .DAT file coming along with the invoice and that is why it is being rejected. I think we need someone in the QB IT team to research to see if somehow there is a hidden .DAT file being sent.

Thanks for getting back to us, @lsefcik.

I have some information about the .DAT file. This is file is usually created during file registration in QuickBooks Desktop. Since you're using QuickBooks Online. I recommend contacting our Customer Care Support. This way, we can verify that file extension.

Here's how to reach out:

  1. Open your QBO account, go to Help.
  2. From the Type something field, type "Contact a human."
  3. Choose either Live Chat/Call me back.

It is also a good idea to check the file with your I.T. personnel.

In case you need help with other tasks in QBO, feel free to browse this link here to go to our general topic with articles.

Drop your comment anytime below if you still have questions or concerns with invoices. I'm always here to help. Take care and have a wonderful rest of the day.

I already spent 3 hours on the phone with the "Customer Support team" and they said it is not a Quickbooks issue.  My customer is saying they are receiving a hidden .DAT file along with the invoice.

Can anyone in IT investigate this and respond?
