If I go and run a Quick report for Activity in the "Item List", I have no issues finding what I need.
For other departments however, I do not want to give them any abilities to add, remove or modify the list so therefore they also cannot review reports in the "Item List" as part of the permission specifics.
Therefore, I created Custom "Memorized Reports" for their "Customer" section as the clerks are part of the Customer module. When I created the custom reports, I wanted a specific "Items" to pull only (so they can run them individually). They do not understand how to create reports or use them and work for another dept and therefore our Finance Dept handles the customization for them.
It appears that if an "Item" transaction amount or quantity is a NEGATIVE, it does not pull up in the "Memorized Report". It is very strange.
Also, please do not provide me instructions on how to create a custom report or how to run a Quick Report. I already know how to do those.
Just need to find out why NEGATIVE items are not showing up on a "Memorized Report".

OK. That doesn't work for us. These are not actual inventory items we are selling, as we are a Non-Profit Sheriff's Office. These so-called service items were set up to streamline the AR process for those with limited understanding of accounting.
I just replaced the current Memorized Reports by instead Memorizing the Item List by Items themselves and ensured they had access to run them. This will display all the transactions regardless of the amount or quantity (bascially all activity).

Thanks for dropping by the Community this afternoon. The reason you're not seeing the negative items on your Memorize report is because the only report designed to evaluate the extent of your negative inventory is the Inventory Valuation Detail (IVD) report. You can see the negative inventory shows with negative numbers in the Quantity on Hand (QOH) column. To run this report you can follow these short steps:
If you are using QuickBooks Enterprise 15.0 and later, you can use the Negative Item Listing report. Note that it shows current negative quantities but NOT the past negative quantities.
