Match two payments to one bill/one Invoice

Hello, I'm trying to match two bank transactions (two payments) to one bill, but I can't select two payments, when I do it and try to mark the bill as paid it just match one payment a window appears saying that the total amount doesn't match the downloaded transaction amount. And when I'm going to receive two payments from a customer and match them to one invoice I have the same problem. Please see the screenshot below.

Re: Match two payments to one bill/one Invoice

Yes, you can do the same thing with your invoice, Claudia12.

You need to record the two payment transactions in QuickBooks.

Here's how:

  1. Go to Customers menu, select Customer Center.
  2. Locate the customer and double click.
  3. In the Invoice window, click Receive Payments.
  4. In the Payment Amount field, type in the partial amount.
  5. Then, Save and close.

Follow the same steps for the second payment of your invoice.

If you're using Bank Feeds, follow the steps below:

  1. Go to Banking, select Bank Feeds, then choose Bank Feeds Center.
  2. Click Transaction List.
  3. Locate the two payments, and Match to Existing Transactions you've recorded.

Re: Match two payments to one bill/one Invoice

Hi @Claudia12,

Great day and welcome to the Community. I'm here to help you matching two bank transactions to one bill or invoice. Before we get started, let me share a few details about the possible reasons why transactions won’t match. These are:

  • The transactions brand new.
  • Details of the recorded transactions in QuickBooks are different from the downloaded ones.
  • It's already reconciled.
  • Duplicate transactions.

Here's how to match multiple transactions with your downloaded bank transactions:

  1. Go to Banking.
  2. Click Use Register.
  3. Choose the specific Bank account where the downloaded transaction is recorded.
  4. Select the specific downloaded bank transaction.
  5. Put a check mark on the transaction you want to match.
  6. Choose Add More Details from the Action drop-down.

Let me know if you need help with anything else. We're always here to help.

But, when I put a mark on the 2 transactions and then I select add more details, it just matches one transaction with the bill.

Re: Match two payments to one bill/one Invoice

You've come to the right for help with QuickBooks, Claudia12.

Let's get your bill and payments matched. Allow me to show you how.

Ideally, you can only match one payment to two bills or invoices and not the other way around. To match these payments to your bill, you'll need to record the payment and manually match them or by simply using the Pay Bills feature.

Here's how:

  1. Go to the Vendors menu, then select Pay Bills.
  2. If you use more than 1 Accounts Payable account, select the appropriate one from the A/P Account drop-down.
  3. Select the bills you want to pay from the table.

If you record the payments through check, these will set as available credits for your vendors.
