No Condense file

My companies QB file has gotten quite large (700MB) and they are asking me to split it up between each fiscal year. But when I try to condense there is no option in QB 2020. I go to utilities and that option isn't there... Only verify and rebuild. Is it somewhere else or is there another way to do this now?

Or is the only way to create a new company file and use existing company file?

We have a tool to help us fix QuickBooks Desktop issues, agbio.

There are times that after an update there are options that are missing. We can help bring bank those options using our QuickBooks Dekstop Tool Hub.

We'll need to download and install the Tool Hub first before we can use it. Check out this link on for more details: Fix common problems and errors with the QuickBooks Desktop Tool Hub. If we're using Windows, we can also use these troubleshooting steps on how to repair QuickBooks

After performing the troubleshooting steps, we can proceed in condensing our company file. We can check the limitations first before doing so. Still from the File menu, choose Utilities and then select Condense Data

I'll be here if you need anything else. Thanks!

Hello Catherine_B,

Tried this and still no luck. Did both the company file repair with zero errors and even repaired my QB with no changes. Still no option to condense.

Thanks for the quick reply,

Tried both repairing the company file and my QB. Both did not work. Still no condense option.

Hi there, agbio.

It would be best if you can reach out to our phone support, so they can check your setup. They can use a screen-sharing tool to gather more documents, so our engineers will have enough information about this behavior.

  1. Click on Help and choose QuickBooks Desktop Help.
  2. Select Contact us at the bottom.
  3. Enter a summary of the scenario in the description field.
  4. Click Continue.
  5. We’ll provide you a few support options. Select which one is best for you.

Support hours:

For QuickBooks Pro, Premier, and Plus, their schedule is 6:00 AM-6:00 PM PT Monday-Friday and 6:00 AM-3:00 PM PT on Saturdays

If there's anything that I can help, feel free to go back to this thread.

@JRossano

Consider purchase a 3rd party condense service.

Hello JRossano,

I'm with the Canadian QuickBooks support team and can shed light on what's going on. I hear what you're saying about the condense option being in older versions of the program and can appreciate how this would be useful to a business owner with a lot of data in their books.

The condense option is not available in current versions of QuickBooks Desktop Canada, which is why you're not seeing it as an option when you visit the utilities menu in the program. In this case, there are a couple of solutions you can consider: using a third party app or starting a new company file.

If you're interested in apps, feel free to check out the Apps for QuickBooks Desktop page to see what's available. As you browser, please keep in mind that this page is home to apps that connect with both the Canadian and US version of QuickBooks Desktop. To be certain that the app you're looking at can be used with your version of the program, consult the app developers via the contact details on the app page.

As for starting a new company file, don't worry, you wouldn't have to start completely from scratch. For instance, you can check out the export and import options for QuickBooks Desktop Canada to see what you'd be able to export out to import into the new file. Once you've done that, you can use open balances to be able to pick up from where you left off. Here are some articles to help.

Give those a read over and let me know if you have further questions. Before I let you go, I want to also ensure that you're able to get answers to your Canadian QuickBooks questions as quickly as possible. This thread is in our US Community, which could result in a bit of a delay to your questions since the Canadian team won't see it right away.

Switching to the Canadian section of the QuickBooks Community is easy. All you need to do is select the flag at the top of the page and then choose the Canadian flag to navigate there. That flag lets you know that you're in a section of community with information that applies to your version of the product. You can also access it from this link: QuickBooks Community Canada

All the best to you!
