Payroll check formatting

I just started working at a place using QBO for accounting and payroll.  I use QB Desktop at home.   At work, when we print AP checks, the formatting is fine and everything prints where it is supposed to.  However, when we print Payroll checks, the print is too low on the check, even to the point where the data prints over the MICR encoding on the bottom of the check.  If we are using the same checks for AP and Payroll, why is the formatting different between the two processes?  If I need to reformat the Payroll checks, where do I do that, AND how can I be sure it won't change the print positions on the AP checks that now print OK?

Payroll check formatting

I appreciate you for laying out the details of your concern, @Photo-Al. I’m here to help you fix your alignment issues when printing paychecks.

Please know that your Payroll's print setting is different from Checks. Rest assured, the alignment of your checks won't be affected.

Since your payroll check is printing too low resulting in different formatting between the two processes, here are some steps on how to correct the alignment issues.

First, you’ll want to set up the printing preference. Let me guide you on how:

  1. Go to Settings, then select Payroll Settings.
  2. In the Printing section, click Edit.
  3. Then, Select Paycheck on QuickBooks-compatible check paper.
  4. Choose Print paycheck and 1 pay stub or Print paycheck and 2 pay stubs.

Then, you can now set up the check alignment. Here’s how:

  1. Select Align check, then click Print alignment form to print a sample check.
  2. Follow the on-screen instructions and close the window.
  3. Then, enter the letter and number that fits best. Since the check is too low, enter a letter that’s before the letter K (A to J) to move the information up.
  4. Select Save, then Done.

Now, you can try printing checks to see if there’s still a need to make adjustments.
