Profit and loss detail doesn't match summary

QB Desktop for non-profits; task was to switch from using separate accounts to using classes to separate program-related expenses from admin expenses. Fixing payroll transactions was interesting - fortunately, there are only two paychecks recorded, with a total gross pay of 611.25.

 

Started with two relevant accounts:

7220 Wages - Program

7220a Wages - Admin

 

It looked like once the classes were set up, I needed to do four things:

1) enable assigning classes to payroll line items

2) change the payroll item that was for admin wages to use acct 7220 instead of 7220a

3) edit the detail for each check and assign a class to each earnings item

4) delete account 7220a

 

#1: worked fine.

#2: after updating the payroll item to use acct 7220, QB asked if the change should apply to all transactions or just recent ones, and I said apply the change to all.  I got an error message with C=47 and a note to call if it continued to happen.

#3 worked fine (with a bunch of notifications that I couldn't make changes that changed the net pay, which I was not doing).

 

When I checked the P&L, it showed:

7220     $712.50

7220a  -$101.25

(101.25 is the amount of one of the pay check earnings amounts for the payroll item whose target account was changed in #2 above.  The corresponding line in the other paycheck was changed correctly with no side effects.  I assume the C=47 error occurred when changing this payroll detail item.)

 

There should not be a balance in 7220a at this point, and the balance in 7220 should be $611.25; so I tried to find the transactions for these balances.  I double checked all the payroll item changes, checked the journal entries behind the two paychecks, tried various reports (GL, P&L detail, etc.) but all other reports showed the expected balances (611.25 and 0.00).

 

So I figured I'd just merge the two accounts and at least the problem should be invisible.  So I changed the account# for 7220a to 7220 and told it yes, merge the accounts.  It beeped, and there were no error messages.  Account 7220a went away.  But 7220 still has a balance of $712.50!

 

I restarted QB, checked again for any other report that showed the wrong balance, but all other reports that I checked show $611.25 (the correct amount) including the P&L detail report.  Only the P&L summary has the wrong balance.  Clicking on the 712.50 in the P&L summary shows detail that adds up to 611.25.  All reports were run with All Dates, and Accrual Basis.  Notably, changing the P&L Summary report to Cash Basis shows the correct balance for acct 7220.

 

How do I get the P&L Summary to show the correct balance?

Let’s check to see why the amount doesn’t flow to the P&L Standard (summary) report.


Have you tried checking the date on the standard report? It should be the same as the P&L Detail. Please make sure they have the same filters as well. You can click on Show Filters beside Report basis to see their active filters. 


If the dates and the filters are the same, we can check for damaged data on your file by running the Verify tool. If it detects one, you’ll be prompted to back up your file and to run the Rebuild tool to fix the issue.

Dates:  Yes, the standard and detail P&L's were both run with All dates and no other filters.

I'll have a chance to try the verify process Wednesday.  Thanks!!
