QB for Mac 2019 - Signed Out and Lost 1 Month of Data

Running QB 2019 for Mac V18.0.6 R7 with Mac OS Sierra.  I am a small business - the only user (under Admin).  QB is typically just running in the background - haven't had an issue with this in the 5 years I've been using it.  I sign out here and there, but it's rare.  Today, I signed out and back in and lost 30 days worth of data.  

 

I made a  backup, and I tried the Rebuild Data option and received the following:  

 

"An error occurred while making your changes.  Try making the change again.  If you see this error message again, please contact tech support or post a message on Community."  

 

No, I don't have a backup within the last month (lesson learned).  I'm planning to re-enter my month's worth of data.  However, I don't want this to happen again.  Any idea why this might have happened so I can avoid this in the future?

Thanks for dropping by the Community. I'm happy to provide you some insight into how to avoid losing data in the future. My best recommendation to you would be to schedule automatic backups that back up your company file every 24 hours. That way, you can never lose more than a days worth of work at the worst. To do so, follow these steps:

  1. Select QuickBooks, then select Preferences.
  2. Select Backup.
  3. Select your backup preferences.
    1. Automatically back up company files every x hours: Choose how often QuickBooks backs up your company file in a 24 hour period.
    2. Automatically back up company files when closing: Choose if you’d like to back up your files when you close QuickBooks.
    3. Save backup files in: Choose where you’d like QuickBooks to back up your files. We recommend you use a different drive or machine, so if there’s ever a problem you’ll still be able to access your backup.
    4. Overwrite last backup: Choose if you want QuickBooks to overwrite your last backup file. This means, you'll only have your most recent backup stored.
    5. Encrypt files with password: If you want your backups to require a password, select Change and enter a password.
    6. Back up attached documents library: Choose if you want to back up attachments you’ve added to QuickBooks records and transactions.
  4. When you’re done, close the Backup preferences window.

I figured it out! I was super upset thinking I had lost a month's of accounting too. Go to your Hard Drive > Users > (Your user name) > Library > Application Support > com.Intuit.QuickBooks2019 and choose the folder ending in Cache that is closest in date to your file when it was last working - then open that folder and you should see your QB file in there. For some reason, I had to upgrade from 2016 to 2019 when I tried to open it, but once it was upgraded and opened, all my transactions had been restored and it was up to date!
