QB Online migrating to new QB Online Subscription

What is the best approach to migrating from one Online subscription to a new Online subscription?

I have tried a couple different approaches and each had their own issues and challenges. The backup/copy worked the best so far, but the backup took 12 hours, which was completely shocking considering there wasn't a lot of data; and the copy took another 12 hours!   However, the copy will not bring over any reconciliations;  you will have to re-reconcile everything.   The other I tried was going from QBO to QBD to QBO; that was a bigger nightmare for me; although the process was a LOT faster, like hours.  I believe there is a 3rd way.... backup/restore.   The restore process says it can take up to an hour; but will it bring over transactions as reconciled?  Does it even work trying to restore to a new subscription?

Have you tried a 3rd party Copy tool?

Good morning, @MBZI.

When transferring data, you can only move or import lists in QuickBooks Online like vendors, customers, inventory, and chart of accounts. As well as your opening balance from another software into QuickBooks. With this, migrating all information such as reconciliations in QuickBooks Online is currently unavailable. You'll have to manually enter these.

To see additional details and how to perform the process, you can click this article: Common questions about importing data to QuickBooks Online.

You also have the option to go to the Apps center inside QBO. From there, you're able to see hundreds of apps to integrate to help you migrate all the attachments in Quickbooks Online.

Here's how:

  1. Click Apps in the left navigation menu.
  2. Click the Browse Category drop-down menu, select Sync Data.
  3. Select the app you want to integrate.
  4. Click Get App Now and complete the following on-screen instructions.

If you have any other questions, leave a comment below and I'll get back to you! Take care.

@Jessica_young  - Sorry, but your post didn't apply, unless you are telling me that the copy or restore tool that Quickbooks online has is not recommended for use; and if that is the case, why build them?

I also do not want this thread to be about buying additional tools from other vendors.   I am asking for the best approach to migrating data from an Quickbooks Online Advanced subscription to a new Quickbooks online Advanced subscription.

The backup/copy worked.  It took forever, but it worked,  and it was easy.   So I would take that over treating it as a brand new system and exporting/importing everything manually.

The QBO to QBD to QBO worked as well, but for larger companies there are problems with it.

Is there a backup/restore option into a new subscription?  Does it have negative side effects too?

Which is the best approach?

Thanks for getting back to us, @MBZI. Allow me to share some thoughts with each of the details you need.

While it may be possible for us to sync historical data going back years, it isn’t really the focus of our service. We’ve found that going back too far can cause issues. Here are a few:

  • Limitations on API.
  • General errors with historical data.

Additionally, I recommend exploring other historical data migration options like CSV import/export features within your eCommerce and Accounting.

Meanwhile, you can use the backup to restore your data from a specific date and time to QuickBooks Online Advanced. It may take up to an hour to restore a backup, but it usually takes much less. The fewer data the company has, the faster it takes.

You can check this link for further details about how to back up and restore your QuickBooks Online Advanced company.

Also, I do think this would be a great time to send this suggestion to our Product Development Team. We value your suggestions. This way, our developers can determine what features to add in QBO's future enhancements.

Here's how:

  1. Go to the Gear icon.
  2. Choose Feedback.
  3. Enter your comments or product suggestions.
  4. Then click Next to submit feedback.

Also, you can read through this handy article to learn more about the: Limitations of historical data.

Please let me know if you have additional questions or concerns about data migration. You can reach out to us at any time. Take care!
