QBO multiuser mode is lacking

We selected QBO Plus to support inventory and multiple users.  Having used QBO for several months, one of our biggest problems with QBO is the poor implementation of multi-user.  Sure, multiple users can log in, but that's about it.  In particular, when sending estimates or invoices via email, all the email originates from one company-wide email address.  There is no way for employees to send email as though it was addressed from them.  For example, if one person sends estimates via email and another sends the invoices, all of the email will appear to originate from one email account.

Some users suggest exporting the estimates and invoices as PDF files and then emailing those using an email client, but the problem with that solution, in addition to the fact that it is rather tedious, is that the QBO email log is no longer accurate.

If QBO truly supports multiple users, then it needs to be enhanced so that each user can enter a name and email address that are then used when sending email from QBO.  In addition, the email templates should be user-specific.  Until then, it's a bit misleading to claim that QBO support multiple users.  On our list of issues with QBO, this one ranks #1.  We are hopeful that Intuit developers will address this in the near future.

Best,

Christopher

Hey there, simplifaster.

Let me welcome you to the Online Community. Thanks for being part of the QuickBooks family.

Yes, you’re correct, all the email information that will show up on your customer's end will be the same. The option to customize the email address per user is unavailable at this time.

I appreciate sharing your thoughts on how the features mentioned above should work. Enhancing them will help other customers run the business efficiently.

We take customers’ feedback as an opportunity to help better the product's features. Once I hear updates about this, I’ll let you know by posting them here.

You can also visit the QBO Blog site to see what’s up and coming about the product.

This should point you in the right direction. If you have any follow-up questions or concerns about QBO, reach out to me. I’ll be right here to help.

Re: QBO multiuser mode is lacking

Why is this marked "Solved"?  This is an unresolved issue.  QBO allows multiple users to log in, but all estimates and invoices are sent from one company-wide email address, independent of which user actually sent the estimate or invoice.  Other online accounting packages can send estimates and invoices from the email account of each user.  Are there any plans to support multiple users in QBO, or would you recommend moving to another accounting platform?

Christopher

Re: QBO multiuser mode is lacking

I appreciate the details you shared to elaborate your concern, @simplifaster.

Currently, customizing the email address per user for sending invoices and estimates is unavailable as of this time.

In the meantime, you can consider following the working discussed on this thread. Export your transactions as a PDF file and attach them file when sending your transactions through the personal email of the user.

But don't worry, I'll pass along your request to our product developers. Feedback and suggestions from our customers, like you, help us improve and enhance the features of our software.

Additionally, you can visit our QuickBooks Online Blog so you'll be updated with the features that our developers are working.

Re: QBO multiuser mode is lacking

Thanks for the quick response.  I just want to stress how incredibly tedious it is that everyone in a company is forced to use one email address to correspond with customers.  All that is needed is to use the email address that is associated with each user.  It could even be an option to support legacy behavior.  This is not that hard; it just needs to be done.

Christopher
