Quickbooks Enterprise Conversion to Online File Too Large

My company currently uses QuickBooks Enterprise and we are looking to convert to QuickBooks online. Our company file is currently too large to convert directly to online - over 1.4M targets. Does anyone have any suggestions on how to convert to online without having to condense or consolidate several years of transactions/transaction history? I know this is an option but the company owner would prefer to keep the history. Thank you!

Quickbooks Enterprise Conversion to Online File Too Large

Hi there, @ellegrace.

 

When converting your QuickBooks Desktop (QBDT) data to QuickBooks Online (QBO), you'll have to make sure that the file is less than 350,000 targets. This way, you can successfully convert your QBDT file to QBO.

 

Since your file has 1.4M targets, the only way we can consider right now is to condense the data to lower down the targets. I understand that the owner wants to keep the history of the transactions for several years. 

 

Once you're ready to condense the data, please follow the detailed steps below:

 

  1. In your QBDT account, go to the File menu, then select Utilities and select Condense Data.
  2. Click Yes to the message Budget data may be moved during cleanup. Do you want to continue anyway?
  3. Select Transactions before a specific date in the Condense Data window.
  4. In the Date field, select a date. QuickBooks will remove closed transactions on or before the date you choose.
  5. Click Next.
  6. Choose a method to summarize the transactions you're removing and select Next.
  7. Click Begin Condense.

As mentioned by Mark_R, you don't have any choice but to condense it. If your condensed file > 350K, consider purchasing a 3rd party super condense service to compress it. Make sure to secure a backup file prior to condense it. Then you may archive and upgrade it every 3-5 years ahead on trial license of Enterprise edition. 

 

Once your file is ready to migrate, open a QBO account to proceed.
