QuickBooks Online Transaction Importing

Hi folks -

 

We use QuickBooks Pro Desktop 2018 currently, and make VERY HEAVY use of its IIF import functionality. We are a SaaS software company, and our own custom-developed internal systems currently generate daily, weekly and monthly IIF files that we use to import checks, invoices, bills, credits, and GJ entries. We do this to create several hundred QuickBooks transactions per week of these varying types.

 

We would REALLY like to convert our operations over to QuickBooks Online if possible, but we cannot sacrifice any part of this ability to import transactions into QuickBooks as it is a key part of our business operations. What options are available to us for importing transaction data that is generated by a 3rd party system, similar to the world of options provided by the IIF infrastructure?

 

It looks like QB Online supports CSV import, but the only support article we can find on this topic indicates that this feature allows for importing only banking deposits and payments. What we need to do is MUCH more extensive than that (see https://quickbooks.intuit.com/learn-support/en-us/bank-transactions/import-bank-transactions-using-e...).

 

We have our own very capable internal programming team. Is there a public API available that we could communicate with that would accomplish everything we need? Or can the CSV import for QuickBooks Online support more than it would seem from the above article?

 

If the answer to all these questions is "just stick with QuickBooks Desktop" I'm going to be extremely disappointed.  If this is the case, does anyone know if adding such import functionality to QuickBooks Online is on the development roadmap?

Hi Morgan,

 

You're right. QuickBooks Online only supports CSV and Excel formats. However, integrate with different applications that import entries to QBO. You can find one in the Apps Center.

 

If you're more interested in API, you can check out with our developers, they can provide you this data. I would encourage you to visit their Community website. Then, click the QuickBooks Online tile and the Ask a question button.

There aren't any.  QB Online's import features, similar to many of its other features, are weak when  compared to QB Windows.

Will QuickBooks Online ever support importing .IIF transaction files?  It seems to me this is a critical need before many QB Desktop users will consider migrating to online.

Currently, the option to import via .IIF file is unavailable in QuickBooks Online (QBO). You'll want to check for third party software.

What do Quickbook Online Developers expect new customers to do to set up company history in QBO?

 

I see that there Apps in the APP store, but I'm not confident that it will import my transaction data and I have yet to locate the file mapping to see what fields that QBO supports.  Just supporting lists is really not enough.  

 

At least in QB Desktop you have the IIF files and list imports and support for that data import. But there is virtually nothing for QBO. 

 

Suggestions? Does anyone have an App recommendation that they have used that will work for setting up the historical data from another accounting system that is in csv file format? Thanks.

I suggest posting this to our Intuit Developer Forum to check with other developers. This is a separate place where you can get an answer from one of the experts handling API concerns.​

 

Also, we have lots of available apps that can integrate successfully with QuickBooks Online that can help in setting up historical data from other accounting systems. 

 

You can go to the QuickBooks App Center or by going to the Apps menu from the left tab in your QuickBooks Online account.

We have a data import utility for QuickBooks Online that will import IIF filesZed Axis will open the IIF file so you can see its contents,  map the columns in the IIF file to the corresponding fields in QuickBooks Online, and then import the transactions in batch directly into QuickBooks Online.   Here is a screen shot of the IIF file parsed and ready to import into QuickBooks Online.Axis IIF import.png

 

There is a 30 day free trial you can try out to make sure it is what you need before you need to purchase. Hope that gives you another option to consider.
