Balance of an Estimate

Hello,

 

My sales flow:

  1. Create estimate
  2. Approve estimate
  3. Create partial invoices based on agreed milestones
  4. Get paid for each invoice

I am not able to find a way, or a report, to clearly see the balance amount in an estimate (un-invoiced amount).

 

Is there anyway I can do that?

 

My ideal case would be a report with the following columns:

 

  1. Estimate total amount
  2. Amount invoiced
  3. Amount paid
  4. Amount balance in estimate (un-invoiced)

You’re on the right track, @BahaaAbouZeid1.

 

When converting an estimate to an invoice, you may choose how much do you want to invoice. Once created, you can run the Estimates and Progress Invoicing summary by customer. This report displays estimates per customer, invoiced amounts, and the remaining amounts to be invoiced.

 

Here’s how:

  1. Click the Report menu.
  2. Go to the Sales and Customer sections.
  3. Select Estimates and Progress Invoicing summary by customer.  

To view your estimates grouped by customer, you can generate the Estimates by Customer report. It shows whether the estimates are already accepted and invoiced.

I have a small problem, I don't have the Estimates and Progress Invoicing summary by customer option. Please check image below.

It's our pleasure to help, @BahaaAbouZeid1.

 

All versions of QuickBooks Online has this Estimates & Progress Invoicing Summary by Customer report. Let’s try to locate this report by going to search box. Follow the steps below:

 

  1. Go to your Reports menu and go to search box and type estimates.
  2. You can now see Estimate & Progress Invoicing Summary by Customer and Estimate by Customer reports. 

Here’s a screenshot: 

In case you still don't have this report, I suggest clearing your browser's cache. It's possible that piled-up cache in your regular browser caused this unusual behavior. 

 

To do this, go to your account by using a private browser or an incognito window. If it works fine, clear the cache in the one that you're currently using.

 

Here’s how to go incognito or use a private browser:

  • For Chrome, press Ctrl+Shift+N.
  • For Internet Explorer or Firefox, press Ctrl+Shift+P.
  • For Safari, hold down Command+Shift+N.

Then, follow the steps on how to clear the cache outlined on this clearing temporary internet files and cache article. 

 

You can also proceed by using other browsers if the steps above didn’t work.

I tried the above but it still hasn't worked yet. I remember I changed something in the settings related to "accrual" or something like that.

 

Basically Quickbooks was calculating my open invoices as money received, and I didn't want that so I changed an option in the settings. Could this be the reason I am not seeing this report?

I appreciate you for going through the steps provided by my colleague MaryJoyD above. Regardless if you change your accounting method to Accrual or Cash basis, you'd be able to see the Estimates & Progress Invoicing Summary by Customer report in your QuickBooks Online (QBO) account.

 

Since you still can't view this report in your QBO account, I encourage to reach out to our support team. They have the tools to check your account and further investigate why you're unable to view the Estimates & Progress Invoicing Summary by Customer report. Let me guide you on how to contact them.

 

In your QBO:

  1. Click the (?) Help icon.
  2. Click Contact us.
  3. Enter a brief discussion of your concerns and click Let's talk.
  4. Then choose your preferred way to get in touch with them.

Balance of an Estimate

Hello,

 

It's funny that even the help button has issues in it. When I click on it it tries to open a dropdown but then fails. I try clicking it again but then redirects me to the website, where I try to "contact" Quickbooks but then they tell me to use the help button. So basically it's a dead end :)

 

You have here a 1 year old customer who's trying to run his business but can't because the accounting tool he uses is full of bugs. I would appreciate if support can email me directly to [email address removed]

I understand how you feel when something isn't working the way you need it to. This time, let's perform some browser troubleshooting steps so you can contact our Customer Care Support via the Help menu.

 

To start with, let's begin by accessing your account in a new incognito or private window of your browser. This way, we can check if this issue is related to your current browser or not. To do so:

  • Google Chrome: Ctrl Shift N
  • Internet Explorer: Ctrl Shift P
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

Once completed, you can log back into your account and contact our dedicated support. If you can do so without any errors, you can clear your browser's cache to optimize it. Also, your browser can start from scratch and improve your QuickBooks Online browsing experience.

 

However, if the same issue occurs, let's switch and use a new browser application. Then, log back into your account and contact our support from there.

The estimate and progress invoicing summary by customer works fine, but doesn't anyone look at the detailed report you show???

 

Look at the total at the bottom of the detailed listing, not only are you ADDING a non posting estimate to the total, but the invoices and payments are also added together - totally useless report !

I am basically looking for the same thing to add to an invoice but not as a separate report.   My customer just wants to see the total (approved estimate) contracted amount with all the multiple current progress billings line items, and then a total prior balance and a total new balance.   Anyway to do this on the invoice itself?

Hi there, @rfsings.

 

I hope all is well. You can customize invoices in QuickBooks Online to include the account summary. This will show the balance forward, new charges, and total amount due on the Invoice. Here's how:

 

  1. Navigate to the Gear icon and select Custom Form Styles.
  2. Choose an Invoice Template (or press New and pick Invoice).
  3. Go to the Content tab, and click the middle section of the Invoice.
  4. At the top, under Account Summary, check the Show on Invoice box.
  5. Hit Done.

Now you have a custom template that contains the previous and current information for your customer. You may also find this article helpful: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Thanks Anna but I forgot to mention that I use QB Desktop not Online.    I know I can further customize my invoices that I created, just not sure how to get that Account summary like you mentioned on your reply for QB Online.

I'm happy to know that you can further customize invoices. 

 

As of the moment, the Account summary is not available in QuickBooks desktop. It's a good idea to have this kind of feature, let me share this to our product engineers.

 

For now, as a workaround, you can add statements with your invoice to show it in your report.
