Clear print queue

Hi Folks,

 

I have three checks from long ago that have already cleared the bank and continue to appear in the "to be printed" queue.

 

I've tried the obvious approach of simply printing them. This changes nothing.  When I double click on the print queue entry, I go to the check, but I cannot change the "Print Later" check box; nor can I change the "To Print" entry in the check number field of the check register.  None of the expected mechanisms work.

 

I would like to know how to clear the "To Be Printed" queue in QuickBooks Pro 2016 , since there is nothing there that needs to be there.

I'm glad you reached out to us. I can help you clear the checks from your print queue.

 

To better isolate this issue, let's try printing the checks to PDF to remove this from the print queue.

 

Here's how:

  1. Go to File.
  2. Click Print Forms.
  3. Choose Checks.
  4. Click OK.
  5. Select Microsoft Print to PDF on PORTPROMTPT.
  6. Click Print.

If you're still able to see the checks from the print queue, you can try verifying and rebuilding your QuickBooks software to fix common data issues and unexpected behavior within your company file.

 

Before you proceed with the troubleshooting, please secure a backup of your company. Once done, you can now start to verify and rebuild your QuickBooks. 

To Verify:

  1. Click File at the top menu.
  2. Go to Utilities.
  3. Select Verify.

To Rebuild:

  1. Click File at the top menu.
  2. Go to Utilities.
  3. Select Rebuild.

Doing the above steps should help you clear checks from the To be printed queue.

I didn't say so, but I have verified and rebuilt my data; it is always among the first troubleshooting things to do.

I appreciate your prompt response. Allow me to share additional troubleshooting steps to resolve this issue checks showing in the print queue.

 

Since the previous steps didn't work, let's repair your QuickBooks Desktop. This troubleshooting is mostly recommended to resolve common issues like this.

 

Before doing so, make sure to create a backup  copy of your company file. Now, we can run repair your QuickBooks Desktop. I'd be happy to walk you through how below:

 

  1. Click Start and select Control Panel.
  2. Select Programs and Features. If necessary select Uninstall a program.
  3. If you don't see these options, select Programs and choose Program Features.
  4. Select QuickBooks and click Uninstall/Change.
  5. In the QuickBooks Installation window, click on Next and select the Repair radio button.
  6. Click Next and select Repair.
  7. Click Finish and restart your computer if prompted.

installation Repair implies that there is something wrong with either the Quickbooks / Windows interface, or there is something wrong with my installation of Windows, and neither of these is true, and if they were true, installation repair would not fix them anyway. Please note what I said in my original post:

This problem it internal to Quickbooks, so Installation Repair is a distraction. Please consider the facts that I have presented.

Allow me to chime in, Chris.

 

Let's work together to remove those checks in the print queue. 

 

Transactions may occasionally get damaged, which needs to be fixed for the QuickBooks company file to work properly. Repairing the software usually resolves corruption issues, such as being unable to open the file or preventing you from performing common tasks.

 

In order to remove these checks in the print queue, let's update your software to the latest release. Here's how:

  1. Go to the File menu and select Close Company/Logoff. If you have multiple company files open, you'll have to close them one at a time.
  2. Go back to the File menu and choose Exit.
  3. Right-click on the QuickBooks Desktop icon on your desktop and select Run as administrator.
  4. While on the No Company Open screen, go to Help and choose Update QuickBooks.
  5. Go to the Options tab, select Mark All, and click on Save.
  6. In the Update Now tab, mark the Reset Update box.
  7. Click on the Get Updates button.
  8. When the update completes, please close QuickBooks. 
  9. Then, reopen the software. If you get the message to install update, select Yes.
  10. Restart your computer.

Now open your company file, go back to your checks and unmark the Print Later box. Otherwise, delete and recreate them. Just make sure to remove the checkmark when you are finished.

I have just upgraded from QuickBooks Pro 2016 to QuickBooks Desktop Pro 2019. Nothing has changed.

It is still the case that none of the expected mechanisms work.

 

I am not going to delete and recreate because then reconciliation gets confused. I've done that before and I'm not going to do it again. This is a data corruption in the company file, pure and simple. I've known this since I posted the original question, and I think it is time that you have realized it and stop pretending the problem is in other places.
