How to copy and paste General Journal entries from MS Excel to Quick Books

For Checks I have seen option "Batch Enter Transactions", where bulk entries can be posted at once, similar to that is any way to post JE, through google search I have come across Quick Books IIF format import and some third party paid tools for import and export of JE, instead is there any other way.

 

I opened a entered JE in QB and selected Transaction Journal and extracted it as Excel report, thought of importing it into QB with new data but could not find a way.

To get the General Journal Entries from the Excel to QuickBooks Desktop (QBDT), you can import them as Intuit Interchange Format (IIF) files. The steps to do this are pretty quick. Before doing so, make sure to create a backup of your company file.

 

Once done, here's how to import IIF files:

 

  1. Sign in to QBDT as an admin, then go to the File menu at the top to Switch to Single-User Mode.
  2. Once done, go back to the File menu to get to the Utilities and Import.
  3. Choose Import IIF Files, then locate the file. 
  4. Tick Open and OK to confirm.

How do you form an IIF file from excel?  I know the steps to import an IIF file, but I was wondering if you can have a journal entry in excel, then copy paste it to the "make general journal entries".

Hello, leeq. 

 

Yes, you're able to import lists and transactions using MS Excel, CSV, and IIF file formats into QuickBooks Desktop (QBDT). Here are the following list you can perform to process the transaction:

  • Chart of Accounts
  • Employees
  • Vendor Types
  • Items
  • Account beginning balances
  • Cash sales to customers
  • General journal entries 

 

For the complete tally of lists and transactions that you can import to QBDT, I'd recommend checking out this article: Import and export data in QuickBooks Desktop (Lists and Transactions you can import drop-down). It also includes helpful links on ways to import info in QuickBooks. 

 

You'll first have to install the QuickBooks Import Excel and CSV toolkit to import the list in the CSV format. Before doing so, please know that you can't undo the info you import. You should make a backup just in case. Whenever you're ready, here's how:

  1. Open the file download window for the toolkit, then select Save.
  2. Go to your Windows Desktop, then select Save.
  3. Double-click QuickBooks_Import_Excel_and_CSV.exe on your Windows desktop to open the WinZip Self-Extractor window.
  4. Select Browse, choose the folder where you want to install the toolkit (such as your Desktop), then OK.
  5. Click Unzip to extract the contents, and then select Close to close the WinZip Self-Extractor window.
  6. Open the QuickBooks Import Excel and CSV folder from the location you selected in step 4.
