I recall a memorized transaction but get the "quantity falls below zero" again and again

I am using QB Prem 2020 with latest update.

Every time I recall the same memorized transaction I get the attached popup telling me that a quantity falls below zero. I had selected Yes (don't ask again) before, but QB does not remember it.

This should only happen once for the same transaction.

Let me help you resolve this, Gerdgoebel.

We'll have to ensure the item's quantity is not zero or negative. It may be the reason why you encounter the message. Here's how:

  1. Click Lists.
  2. Go to Item List.
  3. Select an item, right-click, then choose Edit Item.
  4. Check the quantity under On Hand.

If it's not zero quantity, though, this unexpected behavior can be caused by a corrupted file. Let's run the Verify/Rebuild utility to detect the data damage. Here's how:

  1. Click File.
  2. Go to Utilities, then choose Verify Data.
  3. If QuickBooks detected no problems, there's no further action needed. If you receive a message, "Your data has lost integrity," the file is damaged. Just continue to Rebuild Data to correct the problem.
  4. When you Rebuild Data, you'll receive a message to back up your company file, just click OK. The utility starts as soon as the backup is finished.
  5. Click OK when you get the message "Rebuild has completed."
  6. Run Verify Data again to check for remaining data damage.

However, if it still shows zero, you can use the File Doctor tool to fix company file issues.

You can keep us updated after trying the steps. Get back to this thread if you need more help. Keep safe!

This is not a company file or db issue (I ran the rebuild which came back with 0 errors) but rather that the selection is just not saved.

Hi there, gerdgoebel.

In addition to the Verify/Rebuild utility, let's run the repair tool. This behavior could be due to an issue with your QuickBooks Desktop.

First, update your QuickBooks Desktop to the latest release, then back up your company file. Once done, follow these steps:

  1. Open the Windows Start menu, then select Control Panel.
  2. Tap Programs and Features then Uninstall a Program.
  3. Select QuickBooks from the list of Programs, then Uninstall/Change.
  4. Click Continue, or Next > Repair, then Next.
  5. Once it's done, select Finish.

If this issue continues, please reach out to our Customer Support Team so they can further check it.

  1. Click the Help menu and select QuickBooks Desktop Help.
  2. Tap Contact us. In the Tell us more about your question: field, enter Pop-up.
  3. Select Search, then Start a message.

Comment again here if you have more concerns. Wishing you all the best!
