I work from two different sites and need to access QuickBooks from both, How do I set this up?

Hello there, @Feeney,

I'm here to help ensure you're able to access QuickBooks Desktop (QBDT) from two different sites.

QBDT uses a database file manager to communicate with the company file.

If you're working on the same local network, you can turn on the hosting on the Host computer where the company file is stored. If you're using a server to host your file, once computer has to act as a Host. You must NOT turn on hosting for workstations.

Make sure you have a separate license for each user since you'll be setting up multiple users.

Here's how to turn on Hosting:

  1. From the File menu, select Utilities.
  2. Click Host Multi-User Access.
  3. Select Yes to confirm.

For more details about setting up multi-user, you can go through this article: Set up multi-user network.

However, if you're working on different local networks, you must copy your company file using a stick drive. Then, download and install QuickBooks Desktop to another computer. Once done, copy the file every time you use QBDT on each site.

Please keep me posted on the results by replying to this thread. Thank you and I'll waiting for your response.

So are you saying that every time we use it on different sites, we have to re-download it to a stick drive and transfer? That seems very inconvenient.

So are you saying that if we are on two separate networks (because we are at two separate locations), that we have to re-download the file to a stick drive each time we use it, and transfer back and forth? We bought a second license so we could use simultaneously while not in the same network.

@esilva3

Are you working solo and do you need 2 users working on the same file at the same time?

No, there are two of us, my boss and I. We both need access at the same time, and we are at two separate places while working.

I had no issue opening the company files when I was working at his office, but now that I am working at home on a different network, it will not access the files. I get a notice box that pops up with " Did you move or rename your company file? QuickBooks can't find your company file." The error code that is at the bottom says "Error Code; Company File not found"

I am guessing that the settings just need to be tweaked to make them both work while on separate networks, but I cannot open any to change the settings.

Hi @esilva3,

Thank you for sharing more details about the issue. Allow me to chime in and share some information about how you can access your company in a different network.

Since you purchased an extra license, you can use the Multi-user feature in the program. It's not necessary to re-download the company file and restore it manually to a different computer.

I recommend using an authorized hosting company to sync the data. It allows Desktop users to have their licensed copies installed on servers in an authorized remote hosting facility and access that software over the Internet on a virtual desktop via a secure connection and a web browser.

To learn more about how it works, check out this link: http://www.intuithostingprogram.com/.

You can reach out to your preferred hosting provider for the setup. They'll be able to guide you throughout the process and ensure the data syncs properly.

Additionally, I recommend visiting the following articles to learn about the different hosting modes, as well as the steps to map a network drive in Windows:

@esilva3

Deploy your boss' computer as the host of a private cloud and you will be able to access your company file(s) remotely by internet connection. Make sure you have a QuickBooks license for 2 users, not two different licenses for 1 user. It costs $25/connection/month. Contact us in private if you need our help to deploy the solution by remote.
