Missing A/R old, paid invoices under Sales/Invoices?? Not viewable. Why??

As I'm looking at my invoices under the Sales module, old paid A/R invoices are missing.. it appears that only invoices that are within a year are viewable. Is this a thing with QBO? I was freaking out a little bit thinking that QBO just deleted my old invoices from 2018 through Jul 2019! So I ran different reports and found that these invoices are still in QBO..  So again, is this something that QBO does automatically? Anyone else having this issue? Didn't know if there was a way to customize what invoices are viewable under Sales/Invoices. Thanks!

I'd like to share a few details why we're unable to view the paid invoices under the Invoices tab in QuickBooks Online.

 

QuickBooks will display transactions for the last 365 days until the current period. The system prioritizes to show the recent invoices since these are the transactions that we'll need to manage. Beyond 365 days, we're unable to customize and review the old A/R within the Invoices tab. 

 

Instead of finding them in the Invoices tab, we can go to the Customer tab. Then, view all the invoices that we had created in the previous years. As long as the transaction is not removed or deleted, we should be able to view them: Here's how:

 

  1. Click Customer under Sales.
  2. Select the name of the customer. It'll show all the transactions made.
  3. Click the Filter drop-down arrow.
  4. Choose the type of transaction you'll want to show.
  5. Make sure the date is set to All dates.
  6. Then, hit the Apply button.

Also, it's a good thing that you've tried running reports to verify if they are still recorded in QuickBooks. If we doubt why transactions are not showing on customer's transaction lists, we can run reports like you did to figure out if they have been deleted or not.

 

You may want to learn more about customizing the reports in QuickBooks Online. It shows about including and excluding the information you want on the report.
