Multiple users for QB 2019 Desktop

I use QB 2019 Desktop and want to use it on 2 computers that are not at the same location.  What needs to be done to accomplish this?  Thank you, Jay.

I see this is your first question so let me take the time to welcome you here to the Intuit Community. I can help set up your QuickBooks Desktop (QBDT) 2019 to a multi-user mode.

 

To start off, please note that the recommended multi-user set up is having the company file stored on the Host computer. To turn on Hosting, here's how:

 

1. Go to File menu at the top and pick Utilities and Host Multi-User Access on the drop-down.
2. Click Yes on the confirmation window.

 

 

For your reference, you can also check out this article for more information about hosting your company data file in multi-user mode. Once turned on, you can now proceed on setting up your QBDT to a multi-user mode. Check out this helpful article with detailed steps on how to do it: Set up a multi-user network.

Good afternoon.  In regards to accessing QB Desktop Pro from a remote computer:  Does the QB Database Server Manager store the company file on my local network or does it store it to the cloud?

Allow me to join the thread and help share additional information about QuickBooks Database Server Manager (QBDBSM).

 

The QBDBSM doesn't store any company files on both the local network and in the cloud. However, it's responsible for creating Network Data files (*.nd) for any company files stored on the host computer. 

 

If you have the multiple versions of QuickBooks Desktop, the Database Server Manager for each version must be installed.

That you for the information.  I have a single user licence and would like to install QB Desktop Pro 2019 on a computer that is at a different location.  I would think the company files would have to be stored to the cloud so I could access them from the other computer.  If that is how it works, what would be the cost?  Any help with this will be appreciated.

Welcome to the Community. It would be my pleasure to help you with any questions you may have concerning the latest version of QuickBooks Desktop.

 

You can search for authorized hosting providers to host your QuickBooks Desktop from a different computer. By doing so, you'll be able to store your data files on a service provider's servers.

 

The costs vary depending on which provider you'll purchase a hosting subscription. For the list of Intuit-Authorized Hosting Providers, I'm adding the article I recommend on this:

 

What hosting providers are authorized by Intuit?.

 

In addition to the information above, you can also try looking for apps that allow you to access the screen of the computer running QuickBooks remotely.

I am was able to set it up and it worked fine yesterday, today it wont let the non host computer log on, the firewall setting have not changed.

You can use File Doctor or configure your firewall software manually to allow QuickBooks Desktop from running.


There are five steps when using the QuickBooks File Doctor. These are the following:

 

  1.  Download and install QuickBooks Tool Hub.
  2.  Run Quick Fix my File.
  3.  Run QuickBooks File Doctor.
  4. Follow the steps when you see the issue.
  5. Update and back up QuickBooks.

To manually configure your firewall settings, here’s the link: Set up firewall and security settings for QuickBooks Desktop.


Once done, please restart your computer and open your QuickBooks again.

Does the host computer have to be on a server/network?  Very small office with 2 different computers, having issues with host computer when accessing the “guest” computer.

I'm here to help you get past in this network issue so you'll be able to access the guest's computer successfully.

 

Yes, the host computer must be connected to a server so the hosting option can be turned on. In this case, the Multi-user Access option will be enabled on your server computer to allow other users to access your company file through the network.

 

Here's a link that contains the step by step procedure on how a multi-user network works in QBDT and on how to set it up: Learn how to set up a multi-user network so computers on your network can access your company files.

 

On the other hand, you also need to make sure that the folder permission and the mapping of your network are correct. This way, you'll be able to access the right network successfully.
