Old MPN of an inventory assembly still showing up in the Item List

I have updated the bill of materials for an inventory assembly part to use a different item than before. Almost everything about the inventory assembly part now correctly reflects the new item, with the exception that the MPN (Manufacturer Part Number) field in the Item List still reflects the old MPN.

 

This is a problem I've encountered previously and it only happens with inventory assemblies. Regular inventory parts automatically update the Item List with their new MPN when it is changed.

 

I know that I was able to fix this once previously by somehow finding where the link between MPN and inventory assembly is and manually changing it. But it has been quite a while and I can neither remember nor find where I went to do this again. If anyone knows what I need to do to fix this, please let me know.

Inventory assemblies require a manual adjustment to ensure that all fields, including the MPN, reflect the new item. It occurs because the MPN is tied to the assembly item rather than the individual components.

 

To manually update the MPN linked to that assembly, Here’s how:

 

  1. Go to List in the main menu and choose Item List.
  2. Locate the inventory assembly item that is showing the old MPN.
  3. Click on the assembly item to open its details.
  4. Click the option to edit the item.
  5. In the item details, locate the MPN field and update the field with the new MPN.
  6. Select Ok to Save.

As soon as I updated the bill of materials to a new item, all the information on the "edit item" window was automatically changed to match the new item.

 

The problem is that the correct new MPN shows up here, but the old MPN still shows up on the item list. I don't remember how I fixed this before, but I definitely didn't do it through "edit item". There was another menu or something I had to get into where I could see and update information that is not normally available.

Unfortunately, this is not the solution. As soon as I updated the bill of materials to use a new item, all the information in the "edit item" window was automatically changed to the correct information. The problem is that even though the MPN is correct here, the item list still is pulling the old MPN from somewhere else.

 

I don't remember where I went exactly, but the last time I had to fix this I know it wasn't through the "edit item" window. I had to find another menu or something where normally hidden information can be seen and changed. That was where I found a lingering connection between the inventory assembly and the old MPN that I could update.

  1. Go to Window then select Close All.
  2. Head to File, then select Utilities.
  3. Select Verify Data. If you see:
    1. QuickBooks detected no problems with your data: your data is clean, and you don’t need to do anything else.
    2. An error message: browse for it on our QuickBooks Desktop support site to learn how to fix it.
    3. Your data has lost integrity: Data damage was found in the file. Rebuild your data to fix it.

 

Next, we'll need to rebuild your company file data. Here's how:

 

  1. Head to FileUtilities, and then select Rebuild Data.
  2. Backup your company file and save it in your local storage before rebuilding.
  3. Click OK when you get the message Rebuild has completed.

I tried the resort list, verify data, and rebuild data, but I am unfortunately still having the old MPN show up in the Item List. Verify data did find a few errors that rebuild data fixed, but it seems that the MPN problem isn't one of them.

 

Please let me know if you have any other ideas on how to fix this or if I will need to reach out to QuickBooks support.
