Join nowUnlike QB Windows, QB 2019 MAC does not have an icon button at the top of the credit memo dialogue window to apply a credit memo directly to an unpaid invoice. Is there a workaround in MAC?
Hello,
At the top of your Invoice window you can select the Payments icon. In the Payments window there is a box towards the bottom right that will show your existing credits for that customer. You can check the 'Apply Existing Credits' checkbox to discount the amount of the credit memo from the invoice payment.
I forgot to add the invoice was paid in full prior to the credit memo and therefore the invoice does not show up in Receive Payments. Therefore, how do you apply the credit memo to the invoice in QBMAC? I want to track that the invoice will be open and unpaid after posting the credit memo.
Glad to hear back from you, @BrianW1,
To apply a credit memo to a paid invoice, you must open the Payment transaction then link the refund from there. Here's how:
However, if the invoice is paid online through QuickBooks Payments, you need to contact our support to remove the payment to apply credits. Here's how to contact them: Contact QuickBooks Payments.

Thank you Jen_D for your reply! Issue is if I clear the original payment and apply the credit memo, then don't I owe the customer the credit memo amount, instead of them owing me the amount? The issue is they paid and then reversed their payment thinking the goods were returned when they weren't. They reversed their payment by applying a credit to a payment on another unrelated invoice. So in essence, I want to track the original payment, then their reversal and then the fact they still owe on the original invoice until we reconcile.
Hello there, @BrianW1,
When you clear the original payment and apply the credit memo, you owe the customer for the credit memo amount.
Based on your scenario, you'll have to create an unrelated invoice and apply the credit memo to it. This helps you track the original payment and its reversal. For detailed steps, go through this article: Record a Credit Memo or Refund.
Then, make sure the original invoice has no credits applied to it. This ensures it'll remain open and unpaid, which increases your customer balance.
When you're ready, you can now reconcile your account. This ensures QuickBooks matches your bank statement. To learn more about this process, check out this article: Reconcile Bank and Credit Card Accounts (Mac).
In case you have any reconciliation differences, there are four reports you can run to resolve this issue. To access them, visit this website: Find Reconciliation Discrepancies.
I'm here anytime you have other concerns. Have a great day, @BrianW1.
