Shared reports

I have two companies. I have a report that works perfectly for one company, and I would like to use it on my other company. Try as I might, I can't create it exactly. So, I shared my template to the Quickbooks world, hoping to import it. However, I cannot locate my report template that I shared!
Can anyone enlighten me on how to locate it? There are thousands of reports, but searching by name does not seem to help!

Hi there, @GentleBen.

Let's update QuickBooks Desktop (QBDT) to its latest release. This way, we can make sure that report you've shared reflects in the Contributed Reports window. Here's how:

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. Go to the Update Now tab.
  3. Click Get Updates to start the download.
  4. When the download finishes, restart QuickBooks.
  5. When prompted, accept the option to install the new release.

Once done, go back to Contributed Reports window and search for the report that you've shared. You can also utilize the filter options, too. Simply filter the report by type of industry and sort by rating, popularity, or who created the report.

In addition, you can memorize the report with the new settings and save it in the Memorized Report List. Then, when you want to create a similar report, you go to the Memorized Report List to find it.

I'm always here to help if you have any other concerns or questions. Just tag my name in the comment section and I'll get back to you as soon as I can.

Hi ReymondO,

Thanks for your help. I followed everything as you instructed, and I even re-shared my report, but I cannot find it anywhere. I searched for it in the "Rental" category, and searched for the name I used to create the report. Still, nothing anything like my report comes up in the search window. 5 other reports do, but none are the one I am looking for!
Any other help would be appreciated!

Thanks,
GentleBen

Thanks for getting back to us, @GentleBen.

It could be the report wasn't published yet in the system. In the meantime, you can re-create the report using the same filters applied to the other company. You can take a screenshot of the filters so you can replicate them to the new one.

 Here's how:

  1. Open your company that contains the report.
  2. Go to the Reports menu.
  3. Choose Reports Center.
  4. Select the Memorized tab.
  5. Run the report.
  6. Click the Customize Report button.
  7. Take a screenshot of the DisplayFiltersHead/FooterFonts & Numbers tabs.

Once created, you can memorize the report to make it accessible for future use.

Let me know if you have other concerns. I'll be around to help. Stay safe.

Hi LieraMarie_A,

I had already tried that, but, for some inexplicable reason, the same filters are not showing up in the new report, so I cannot get the desired data. I have been using this custom report for 15 years, so I don't remember which base report I started off with. My bad!

Do you know how long it takes for a shared report to show up on the system?

Thanks,

GentleBen

That's okay, GentleBen. We tend to forget things sometimes. Let me help you sort this out.

A shared report doesn't usually take long to show in QuickBooks. It's probably caused by a corrupted data. Let's run the Verify/Rebuild utility to detect the data damage. Here's how:

  1. Click File.
  2. Go to Utilities, then choose Verify Data.
  3. If QuickBooks detected no problems, there's no further action needed. If you receive a message, "Your data has lost integrity", the file is damaged. Just continue to Rebuild Data to correct the problem.
  4. When you Rebuild Data, you'll receive a message to back up your company file, just click OK. The utility starts as soon as the back up is finished.
  5. Click OK when you get the message "Rebuild has completed".
  6. Run Verify Data again to check for remaining data damage.

Once done, search for the report that you've shared.

I'll share the reference on how to fix data damage on your QuickBooks Desktop company file to better guide you.

You can keep us updated after trying these steps. We're right here to help you.

Thanks for your suggestion. I did everything you mentioned, but it said there were no problems with my data :(

Thanks for the reply, @GentleBen.

I want to ensure you’re able to get the report to fit your needs in QuickBooks Desktop.

Since troubleshooting showed no results of error, I recommend reaching out to the Desktop Support for further assistance. Rest assured, they have the tools to assess your account in a secure environment and get on a screen share with you while performing troubleshooting steps to see what's causing this behavior. Here's how to get in touch:

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help.
  3. Choose Contact Us.
  4. Give a brief description of your issue, then click Continue.
  5. Pick Start messaging.

You'll hear from an agent shortly.

I'll be here if you have any other questions or concerns. Take care!
