Understanding user types and permissions

If a standard user in QBO Essentials has access limited to Customers and Users and Vendors & Purchases, is that user able to view transactions in the bank registers?

Let me be the first to welcome you to the Community. I’m here to tell you exactly what Standard users can and can’t do with limited access to Customers and Vendors only.


These users will not be able to view bank registers, including transactions. The other restricted areas are adding, editing, and deleting accounts and quantity on hand, and seeing total income and expense amounts on the Home, Vendor, and Customer pages.


Listed below is what they can do within the account:

  • Enter estimate, invoices, sales receipts, credit memos, refunds, charges, and credits.
  • Create and delete statements.
  • Receive payments from customers.
  • Fill out time sheets for anyone.
  • Add, edit, delete customers, vendors, products, and services.
  • View customer registers.
  • View vendor and A/P reports.
  • Enter bills from vendors.
  • Pay bills, write and print checks, and view check reports.
  • Make bills and purchases billable to customers.
  • Enter cash and credit card purchases.

It's nice to have you in the Community again, @tdupras. I'm here to help with setting up users.

 

There are multiple user roles available in QuickBooks Online (QBO), with varying levels of access privileges. One option that you may wish to consider in this instance is a Reports only user, which has read-only access to the file.
