Record Income w/out Invoices

New to a company, recently installed QB - getting bank accounts info entered, etc. - my question(s)..we are preparing as we move along to bill from QB so this won't be an issue later (still need to set up a Network for others to access, etc.), anyway, this past month bank statements indicate deposits that were for services rendered but no invoices were entered to account for the income as Accounts Receivable.  Rather than identifying all of these deposits as "unidentified deposit", can I issue/enter 1 invoice in the A/R to account for all the deposits (as a whole) until which time we are up and fully Quickbooks functioning ?

Yes, you can create one invoice to match the amount in your Accounts Receivable A/R account. Let me show you how.

  1. Go to the Customers menu in your QuickBooks Desktop (QBDT).
  2. Select Create Invoices
  3. Enter the needed details for the invoice and click Save & Close.

Once done, you'll want to link your deposits to your invoice to keep your records accurate. You can refer to this link for the detailed steps (though the article is for QuickBooks Online (QBO), the workflow also applies in QBDT): How to link a bank deposit to an invoice.

Furthermore, I'd also recommend working with your accountant for additional guidance and other ways to account this. This way, we can guarantee the accuracy of your accounts after recording this.

Additionally, I'm adding these links that you can utilize for future reference. These can guide you on how to import data, set up a multi-user network, and reconcile an account in QBDT.

You can always count on me if you need more help managing your deposits and invoices. I can also assist you if you have other queries about how QBDT. Stay safe and have a dazzling day ahead!

Thanks so much - that is exactly what I did while awaiting a response.  I'm no accountant but pretty versed in Quickbooks, but it's been awhile since I've had full reign, (so to speak) and starting from scratch.  Daunting, but I can handle it. LOL!!  (That's what I keep hearing anyway! HA!)  I definitely need to converse with the company accountant so he can direct me what GL to apply certain things, different industry, different ways to account for things.  Some are basic no brainers, others, not so much.  None the less, thank you so much for the response, truly appreciate it!
