Sales & invoice

I want to have an inventory item that contains multiple units and have it show the number of units on the invoice at the point of billing.

 

Example: Batteries are sold by the box. A box of batteries contains 48 batteries, if we invoice 10 boxes then the invoice should say 10 boxes 480 units.

While this option isn't available in QuickBooks, you can add the units in the description column as a workaround. Let me guide you through how.

  1. Go to Lists, then Item List.
  2. Edit the inventory assembly item, then add a description on many units are there in a box under Description on Purchase Transactions.
  3. Hit OK.
  4. In your invoice, enter the calculated number of units in 10 boxes under Description.
  5. Click Save & Close. See attached sample screenshots below.

I accept as an alternative however, I was more looking for something automated. is there any add-on available to do this?

Let me clarify this situation, Hdrnbot.

 

You can only see the number of items in each box when you hover over the quantity on the invoice. However, this won't show up on any reports. 

 

The screenshot below highlights this.

The steps below will show the complete set up of the item:

  1. Go to the Lists menu, then select Item List.
  2. Select Inventory Part from the Type drop-down list.
  3. Enter the name of the item.
  4. Choose Add new from the Unit of Measure drop-down list.
  5. Pick Count, then click Next.

  6. Choose Each, then click Next.

  7. Mark the box column, enter the number of items per box in the # OF EA field, then click Next.

  8. Select the default UM, then click Next.

  9. Set the name of the UM, then click Finish.

  10. Complete other fields, then click OK.
