So what is the situation with performing imports to update ONLY particular product information...

So i'm needing clarification on importing products and the NUANCE involved. I'm going to reiterate what my understanding is thus far, and hopefully someone can either validate me or correct me with clear examples and instructions.

 

So my understanding is that to ADD for the first time ANY INVENTORY TYPE products, that the product name, product qty and qty as of date, are the MINIMUM required fields... if so that's odd that price etc aren't needed...i'd think that is needed to...but anyway...

 

So my boss did an initial import with our new migration as of last week...

Unfortunately he did it badly...apparently the spreadsheet he used had prices all mixed up with the wrong items, and lots of product didn't get added at all, and some product got added under the wrong sales account, etc... stuff like that.

 

So i have since been tasked with FIXING all of that.

 

So I have done searches using Copilot to ask, "in QBO is it possible to ONLY particular product fields, WITHOUT doing the whole qty and qty as of date thing etc"  and copilot has said YES, it is possible.  That i only need to set up the import file .xlsx, or .csv with the product name column and the price column and can import that way.

 

That turned out to be a fat lie...FAILED EVERYTIME... I ended up having to get the full template and fill out product qty and qty as of date and all that other stuff, JUST to be able to get QBO to proceed with the import...otherwise it would only spin indefinitely or until QBO automatically logged me off due to inactivity.  TOTAL NIGHTMARE.

 

So i got the pricing updated, but several items did not have descriptions which now i'll need to update those again...

 

So CAN i update ONLY Descriptions for INVENTORY TYPE product WITHOUT having to include oh hand qty and qty as of date info?  Or is that ALWAYS REQUIRED FOR ANY INENTORY TYPE UPDATE, regardless if pricing or description ,or a correction to the part# itself?

 

Is it possible, and if so, can someone pls provide me examples (of the spreadsheet template used) and the steps to do so...because so far my attempts to invenotry updates without qty info seem to be consistently failing. And it would be super lame, if qty's HAVE to be a part of EVERY import/update just to update some non-qty' related field like pricing, or description, etc....

 

And then in the same vein, I have part#'s (previously imported into qb) that when trying to manually adjust qty's, i get a "need to use a valid number" and it seems to be because the product name (and the sku as well) have a forward slash.  But ironically, that forward slash wasn't a problem at import time..so why now?  and Why not the sku, only the product/services name seems to be the problem.

 

Even if i leave the forward slash in the SKU field, it's all good AS LONG AS IT IS NOT IN THE PRODUCT NAME.  That's stupid....but the point of me bringing it up is the question, if i want to go back and update all the product names that contain "/", but without changing ANYTHING else, is that possible? And if so how?

 

pulling my hair out since migrating..so far seems to be a terrible decision if i'm being honest...but it is what it is, so just doing my best to make due...

@StartingOffTOTALLYBlindHere  Re: The forward slash issue, this has been a thing with QBO for a few days now.

 

If it's any relief, according to the latest posts in the following linked thread, people have been able to use the forward slash again.

Interesting that it was only a temporary issue. A coworker also told me that today the "/" was NO longer an issue...

 

but i'm confused why that is. When it first came up i searched "Restricted characters" to see what could or couldn't be used, and of all the special characters  that CAN be used per the list, the only one missing is the "/"....so SUPER confusing that it's only come up past few days and seems to be working again, because per the documentation i saw the "/" is NOT a usable special character as it is NOT on the usable list.  This consistency in information is really adding terribly to the frustration with this switch to online...super NOT enjoying this AT ALL.

and just since you've been the one that seems to answer most frequently...any insight into the first part of that last post?  RE the possibility and the how to update only particular fields, like ONLY the pricing, or ONLY the descriptions?  OR ONLY Types, or sales accounts, etc...???  This is something that will come up a lot. Many of our vendors have monthly price changes so it will be critical to have a smooth and efficient system to get those prices updated quickly and easily and accurately...

@StartingOffTOTALLYBlindHere  My best guess in regards to why they fixed the forward slash issue so quickly is because even Intuit has some limits to their stupidity, and their change would have absolutely crippled the construction industry.

 

To your second reply, unfortunately, I don't have a lot of knowledge about QBO's processes. More power to people who volunteer to use it, but I'd just as soon go to an entirely new accounting software.

 

People like @Rainflurry @BigRedConsulting and @Just_me  seem to have more experience with QBO, however begrudgingly; I'm mostly here to answer simple accounting questions, moderate technical questions, and make fun of the AI they call Intuit Support Staff.

@StartingOffTOTALLYBlindHere  Yeah, anytime you use the @ symbol to tag someone, they'll have a notification in the little 'people' symbol up top by the sales phone number.

 

Those three are probably the most active over the past few years; BigRed and Rainflurry in particular have helped quite a lot of people, decades of experience there. Just_Me seems to be here for mostly the same reasons I am, but they're sharp too.

Pass.  Sorry, but I have no knowledge of the nuts and bolts of importing to QBO.  Perhaps BigRed can help.
