Staggering Invoice Emails

Is there a way to stagger sending invoice emails. Our ISP has throttling turned on to prevent spammers using the service. As a result many of our invoices aren't being delivered when we do a batch run creating invoices as we have more invoices than the hourly limit of emails.

We have quickbooks desktop and are using outlook to send emails.

Many Thanks,

Re: Staggering Invoice Emails

Hello there, @ZGWD Kathy,

Let's add the Intuit's service email address in your lists of accepted senders. This will allow your ISP to recognize the @intuit domain as a trusted site.

Here's how:

New versions

  1. Go to the Home tab.
  2. From the Junk ▼ drop-down menu, select Junk Email Options.
  3. Go to the Safe Sender tab.
  4. Click Add, then enter the Intuit email.
  5. Select OK, then select the Automatically add people I email to Safe Sender List checkbox.
  6. Click Apply, then OK.

Office 2010

  1. Go to the Home tab.
  2. Click Junk, then Junk Email Options.
  3. Click Safe Senders tab, then Add.
  4. Enter Intuit email, then select OK.
  5. Select the Automatically add people I email to Safe Sender List checkbox, then Apply.

Office 2007

  1. Go to the Tool menu, then select Options.
  2. Select the Preference tab, then select Junk Email on the Email section.
  3. Go to the Safe Sender tab, then select Add.
  4. Enter Intuit email, then select OK.
  5. Select the Automatically add people I email to Safe Sender List checkbox, then Apply.

If you're still getting the same results, I suggest contacting the ISP to evaluate the security settings for your email profile.

I've added this article about sending sales forms for additional guidance: Send Forms by Batch in QuickBooks Desktop.

Keep me posted if there's anything else I can help you with emailing invoices and I'll get back to you.

Re: Staggering Invoice Emails

I think you misunderstood my question.

The invoice emails are sending without any issue. We are batching the invoices which what is creating the problem.

It is not an issue of being a trusted site. Our ISP has a limit of the number of emails that can be sent in one hour. The number of invoices being generated and sent are exceeding this limit. The ISP won't change the limit for us.

We need a way to generate all the invoices in one run but then limit how many are sent per hour so our ISP won't block the ones that go over the limit of sent emails allowed.

Thanks

Re: Staggering Invoice Emails

Technically speaking it isn't the ISP that has the sending limit it is the email service provider.

Re: Staggering Invoice Emails

I appreciate you getting back to us, ZGWD Kathy.

I'm here to add some information regarding sending invoices via email by batch in QuickBooks Desktop.

Technically, QuickBooks Desktop has no limit when it comes to sending invoices via email. The limitation is from your email provider, and we no longer have access to their program. You can check with your email provider if they can set a limitation for sending invoices.

You may find the following article helpful about sending invoices by batch: Send forms by batch in QuickBooks Desktop.
