I want to ensure this is taken care of, @TMcClellan93.

 

To fix the issue, you can try opening your QuickBooks Desktop as admin. To do that, right-click on the QuickBooks icon on your computer and select Run As Administrator. Then, try to activate direct deposit again.

 

Bumping up this reference: Set up your company payroll for direct deposit. It also includes information about setting up direct deposit for employees and contractors .

That doesn't work either and since I am not the only one that is having this issue I would think you would look into a little bit more.

 

I am getting ready to just ditch QB and find a new software that actually works or when you do have issue the fix it instead of trying to push you to the crappy online version.

We've already identified the root cause of this issue, and there's a need to do a few adjustments to your account to get this resolved. Please contact our QuickBooks Payroll Support Team, so they can check your account and fix this for you. They have the tools to do that.

 

After fixing the issue, you can update your payroll to get the latest tax table.

Mine doesn't even give an error code.  When I try to input the PIN, it immediately tells me that it's an invalid PIN.  This happens with the very first character.    And, I have to agree with the "crappy" online version.  That version may be good for the home user, but it's not a good accountant software.

Since the Community is a public forum, and we'll need to collect some personal information to pull up your account, I encourage you to reach out to our Customer Care team. They have all the necessary tools to verify what's causing the PIN to be invalid and then guide you with a fix. Here's how:

  1. Go to the Help menu.
  2. Select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Enter your concern, then select Continue.
  5. Choose a way to connect with us (Start messaging or Get a callback).

 

I've attached a screenshot below that shows the first three steps.

I am having the same issue with the software. The moment I start typing it says the pin is invalid. It's obviously a glitch in your software.

Let's make sure you'll be able to fix your payroll issue, granpa33.

 

I can see how you want our payroll service to run smoothly without any issues. Normally, you'll get an invalid pin prompt when the PIN that you've entered is incorrect. You'll want to ensure to re-enter your PIN correctly. To do this, you can either type it in Word or Notepad to make sure you'll be able to view the characters. Please know that PIN contains 8 to 12 characters that include one letter and one number. Also, ensure that Caps Lock and Num Lock are turned off. But if you're still getting an invalid prompt, you can reset your PIN in QuickBooks Desktop Payroll. To do this follow the steps below.

 

To change or customize your current PIN in Account Maintenance:

  1. Choose Employees > My Payroll Service > Billing/Bank Information.
  2. Under Service Information, click Change next to My PIN.
  3. Enter the information in the required fields.
  4. Click Submit.

To change or customize your current PIN in Send Payroll Data window:

  1. Log in to QuickBooks Desktop as Admin (an Admin user must be set up in QuickBooks Desktop).
  2. At the top toolbar of QuickBooks Desktop, click Employees > Send Payroll Data.
  3. In the Send/Receive Payroll Data window, click the Send button.
  4. In the Payroll Service PIN window, click Forgot your PIN?
  5. Enter your Admin password in the Password field.
  6. Click OK.  The Enter New PIN window opens.
  7. Enter a new PIN when prompted.
  8. Click Submit button.

However, if you're still getting the same prompt, I recommend reaching out to our support team to look into this further. They have the necessary tools to request a further investigation for this to be escalated to a higher tier.

The information you copied and pasted from documentation does not resolve the problem.

 

The pin I am entering is correct. I am able to submit payroll with it.

 

There is a glitch in the form just like other users reported. The moment you start typing the form becomes invalid. Even if you enter correct pin, it does not change to valid. If you start the process again then the form is already invalid. It makes it impossible to complete that form.

There is a glitch in validation as other users reported. The pin I am using is correct. I am able to submit payroll.

 

When I start typing the form becomes invalid and event if I finish typing correct pin, it stays invalid. If I restart the validation again, it stays invalid and it never changes to valid. See screen shot.

 

It makes it impossible to complete this form.

If you already performed the recommended steps that were shared above, I'd recommend reaching out to our QuickBooks Customer Support. This way, they can review your account and verify the cause of the issue.

 

  1. Go to the Help icon and select QuickBooks Desktop Help.
  2. Click Contact Us.
  3. Write your concerns in the description box, then select Continue.
  4. Select which one of the support options you'd like to use.

Someone at Intuit really needs to start taking this more seriously.   There is a major bug in the program and no one is able to enter their PIN to complete this direct deposit update process.   I have tried running QB as administrator, I've contacted customer support, they have taken control of my screens, etc.   I have spent hours and hours trying to get this resolved and Intuit reps have not been able to help.   Someone really needs to raise this issue high up the flagpole to address the programming issue or there is about to be mass chaos at the end of July.

Just a quick update from someone who was fighting this problem.  We had special characters in our PIN.  We changed the PIN to have ONLY numbers and letters, which then allowed us to submit and move forward.  I hope this helps someone!

We were fighting this issue as well.  Our PIN had special characters in it.  We changed it to only have letters and numbers and were able to submit successfully.  Hope that helps someone!

I am having the same issue with the PIN #, keeps saying invalid PIN, there are no special characters in my PIN.  I use the PIN every 2 weeks with Payroll.... so the PIN is not the problem?  It is on the QB Update side?  This clitch needs to be resolved before July 31.

Change your Password.  Click on Employees, Click Send Payroll Data.  When window comes up click on Forgot Password.  It will prompt you to create a new password.  Once I did this I went into the link to update payroll by July 31, 2021.  It worked.

Thank you!  I've been working on this for weeks without a resolution.  Even though my PIN is correct and works for payroll, the update wouldn't work due to my existing PIN having special characters.  As soon as I changed it to just letters and numbers the update worked.  Finally!

I am having the same problem and getting the Error 40001 message. But the form I need to fill out flashes up briefly before the Error message.

 

I am using Desktop Pro Plus 2021 and have two companies set up. I was getting the same message for Company 1 and spent 3 hrs with the help desk/chat before the error was fixed. I was told "they" would be working on the issue and would keep me apprised of the solution. I haven't been advised. Now I need to get Company 2 corrected, but I don't have the tolerance or patience to go through another 3 hours. Why hasn't this issue been fixed? Help desk can reference conversation number is [removed] .

What is the solution?

Thanks for bringing this up in the  QuickBooks Community page.

 

Based on the suggested steps that were shared by some users in the thread, we can fix the error by resetting the PIN. Then, ensure that there are no special characters included such as $ % #, etc. This way, you'll be to update your company's password for your Payroll Service. 

 

Here's how:
 

  1. Log in to QuickBooks Desktop as Admin (an Admin user must be set up in QuickBooks Desktop).
  2. At the top toolbar of QuickBooks Desktop, click Employees and click Send Payroll Data.
  3. In the Send/Receive Payroll Data window, select the Send button.
  4. From the Payroll Service PIN window, click Forgot your PIN?
  5. Enter your Admin password in the Password field.
  6. Click OK and select Enter New PIN window opens.
  7. Enter a new PIN when prompted.
  8. Click Submit button.

 

Additionally, here are the following requirements when changing or customizing your current PIN in Send Payroll data window:

 

  • You must have your Admin Log in and password.  Your Admin password must be longer than seven characters.
  • Pin must be 8 to 12 characters and contain one (1) number and one (1) letter, no special characters such as $ % #, etc.
  • You have successfully sent payroll in the past from the computer and data file you are currently using.

I have had an issue with every single company I have had to update.  Currently, the issue states that I am not the "proper" administrator.  I am the only administrator.  I have tried running the program as the administrator and that does not resolve the problem.  I would love to contact my payroll support team, but they do not call back, and the hold time is over 2 hours.  

 

I absolutely agree with the comments about QB Online - this is a glorified Quicken - no more than a check book.  The program does not allow for necessary check and balances to establish proper accounting procedures to follow GAAP and submit to an audit.

I'd like to share some steps to help you fix this issue.

 

When you're unable to open your company file, we can use the QuickBooks File Doctor. This helps fix common errors. Note: For the best experience, we recommend using Tool Hub on Windows 10, 64-bit.

 

To download and install QuickBooks Tool Hub, you can follow these steps:

 

  1. Close QuickBooks.
  2. Download the most recent version (1.5.0.0) of the QuickBooks Tool Hub. Save the file somewhere you can easily find it (like your Downloads folder or your Windows desktop). Note: If you've installed Tool Hub before, you can find out which version you have. Select the Home tab.  The version will be on the bottom.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.

Once done, run Quick Fix my File by following these steps:

 

  1. From the tool hub, click Company File Issues.
  2. Select Quick Fix my File and hit OK when it completes and launch your QuickBooks.

If you're still getting the "proper" administrator message or can't open your company file, please follow Step 3 in this article: Fix company file and network issues with QuickBooks File Doctor.

 

After the steps, let's make sure to update your QuickBooks Desktop to the latest release and tax table. Then, create a backup of your company file.

 

Otherwise, I recommend contacting our Payroll Support Team. They have more tools to investigate what's causing this issue.

 

Here's how:

 

  1. In your QuickBooks Desktop program, go to Help QuickBooks Desktop Help.
  2. In the Have a Question window, enter your concern under Ask a question (or tell us what's wrong) and click Continue.
  3. Under Choose a way to connect with us, select the Get the number button.
