Updating QB15 to QB18 - verifying payroll subscription

I just updated a client's QuickBooks 2015  to QuickBooks 2018.  Once it opened I received a pop up saying:  Intuit Payroll Service - "Now that you have upgraded, QuickBooks must go on line to verify the status of your payroll subscription"  When I click "OK" I get a WARNING stating: "The file you specified cannot be opened.  Make sure that it is not currently being used by another program or a read-only file.  The windows error was 'The file exists.".  BEHIND this message is a window saying: "Working - QuickBooks is updating files.  Please wait"  and there is a bar indicating the percentage of completion.

 

*  The file is NOT being used by another program.

*  The file is NOT a 'read-only' file as I confirmed that by checking the file's properties.

*  The percentage bar is NOT changing even after I have let it sit for over an hour.

*  I use this same QUICKBOOKS 2018 program for other clients and have NEVER had this issue.

*  The QuickBooks 2018 program will NOT let me shut it down without doing a hard reboot (using the task manager).

*  I've run the QuickBooks fix-it doctor to no avail!!!  And remember it is ONLY for this one client's file that was working perfectly in QuickBooks 2015.

 

WHAT do I need to do?!?!?  I've a client's tax stuff that needs to be done 'yesterday' and now I have this issue!!!  Grrrrrrr!  Who can help me get this kink fixed ASAP?

I see you've been through a lot trying to fix this type of error. Going back and forth isn't easy, but rest assured I'm here to guide you so this matter gets resolved. 

 

There are possible reasons why you're getting this error:

  • Inactive payroll subscription
  • More than one active payroll agreement with an inactive Direct Deposit agreement
  • Damaged QuickBooks Desktop file: paysub.ini
  • Data damage
  • Product not updated
  • Incorrect Service Key
  • Incorrect Employer Identification Number (EIN) in the company file
  • Incorrect PSID in the company file
  • The version of QuickBooks Desktop you are using does not support your version of Windows
  • The status of the payroll subscription in the QuickBooks Desktop Service Keys screen appears as "Invalid number or EIN"

To isolate the error, let's process troubleshooting steps by following the steps below:

  1. First, let's ensure that you have the latest QuickBooks Desktop release and downloaded the latest tax table release.
  2. Open QuickBooks Desktkop Payroll Account Maintenance. Then close the page.
  3. Reboot your computer.
  4. Download the payroll update, again.
  5. Then, Reset QuickBooks Desktop Update.

Thank you Jany for your reply ... however, I am unable to do any of your suggestions as the file will NOT allow me to go beyond the first block:  Intuit Payroll Service - "Now that you have upgraded, Quickbooks must go on line to verify the status of your payroll subsctiption" WITHOUT hitting "OK" ....

Sooooo .. now what?!?!?  As I mentioned, I have never had this issue with any other of the files I use on QuickBooks 2018 ...  and I KNOW that my payroll subscription is current as I use it every week ... 

 

Grrrr..... will await your next idea ...

I understand the effort you put in to get this sorted out. To be able to perform the steps provided by my colleague above, you'll have to hit OK first to close the pop-up window. Once closed, you'll be able to perform the steps above.

They have additional tools to pull up your account in a secure environment and do a remote session to investigate this further. 

 

Here's how to contact our technical support:

  1. Select QuickBooks Desktop Help from the Help menu.
  2. You can also press F1 on your keyboard to bring up the same Help Panel
  3. In order to route you to the correct support expert, we need to know what type of question you have.
  4. Click Continue.
  5. We’ll provide you a few options. You choose which one is best for you.
